INTRODUCTION
We’re seeking someone to join our team as an Executive Assistant to provide high-level administrative support to Investment Operations leaders in Boston and reports directly to the Managing Director and Global Head of the Public Markets Middle Office, who is also based in Boston. This position manages schedules, facilitates communication, plans events, assists with presentations, and handles confidential information. The role requires exceptional organizational skills, discretion, and the ability to anticipate the needs of senior leadership in a dynamic, fast-paced environment.

ROLE AND RESPONSIBILITIES
- Calendar and Schedule Management: Coordinate and maintain complex calendars, schedule meetings, appointments, and travel arrangements, and ensure executives are prepared for daily activities and key events.
- Event Planning and Coordination: Organize and oversee company events, and special meetings. Manage logistics including venue selection, catering, invitations, itineraries, and on-site support to ensure seamless execution.
- Communication Liaison: Serve as the primary point of contact between executives and internal/external stakeholders.
- Meeting Coordination: Organize, prepare agendas for, and attend meetings. Record minutes and follow up on action items to ensure timely completion as appropriate.
- Travel Arrangements: Plan and coordinate complex domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Document Preparation: Prepare reports, presentations, and other documents using Microsoft Office Suite and other relevant software.
- Confidentiality: Handle sensitive information with the utmost professionalism and discretion.
- Project Support: Assist with special projects, research, and analysis as assigned by executives.
- Expense Management: Track and reconcile expense reports, process invoices, and manage budgets as needed.
BASIC QUALIFICATIONS
- Bachelor's degree preferred; relevant administrative experience may substitute for education.
- Minimum of 3-5 years supporting executives or senior management.
- Experience planning and coordinating corporate events, meetings, or conferences is highly desirable.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- Strong organizational, multitasking, and problem-solving abilities.
- High level of professionalism, discretion, and confidentiality.
- Ability to work independently and collaboratively in a dynamic environment.

COMPENSATION
Expected base pay rates for the role will be between $95,000 and $100,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
