Summary
The Operations Support role is responsible for a variety of tasks within the agency, including managing first impressions for all customers by professionally handling incoming calls and ensuring callers are routed efficiently to the appropriate parties to maintain a high level of satisfaction. This position also supports the Licensing & Commissions, Case Coordination, and Support and Services teams by assisting with processing, system transactions, and projects.
This is a full-time, in-office position based in our Minneapolis office. The standard work schedule is Monday through Friday 8:30am – 5:30pm.
Key Responsibilities
Customer Experience & Front Desk Support
- Serve as the first point of contact for visitors and callers, providing a professional and welcoming experience.
- Handle incoming calls and route them efficiently to the appropriate team members to support timely resolution.
- Maintain front desk operations, including visitor assistance and general administrative support.
Licensing & Contracting Support
- Process licensing and contracting paperwork with insurance carriers, ensuring accuracy and completeness.
- Maintain current licensing records, carrier contracts, and commission levels.
- Conduct regular follow-up on licensing submissions to prevent delays in new business processing.
- Serve as a resource to advisors for licensing, contracting, and submission related questions.
Inforce & New Business Support
- Review inforce forms for completeness, required signatures, and policy criteria prior to carrier submission.
- Monitor support inboxes and phone inquiries related to inforce service requests and issue resolution.
- Partner with New Business and Case Coordination teams on cases requiring special or priority handling.
Compensation & DBS Systems Support
- Maintain expert knowledge of compensation processes for all insurance carriers, including standard and special “bonus” compensation arrangements for all accounts.
- Utilize compensation knowledge to support accurate and timely payment to all customers.
- Process transactions through the AMS system to produce required reports and ensure compensation hierarchies are established correctly, so all parties are compensated properly.
- Handle inquiries from internal and external customers regarding compensation payments and work to resolve issues promptly to the customer’s satisfaction, including coordination with insurance carriers and internal departments as needed.
Administrative & Team Support
- Prepare and distribute policy contracts, electronically file documentation, and maintain organized case files.
- Manage daily check processing and overnight delivery logs.
- Order and manage office supplies.
- Coordinate office events, including meetings, lunch & learns, and team gatherings, including food ordering and setup support.
- Assist peers with processing questions and provide guidance or training support as needed.
- Participate in projects and perform additional duties aligned with business needs.

- Professional communication skills, both written and verbal.
- Ability to learn and navigate multiple systems, including carrier platforms and DBS tools.

Experience & Education
- High school diploma or equivalent required.
- Minimum of two years of experience in an office, administrative, or operations support role.
- Experience in insurance, financial services, or a professional services environment preferred.
