Position Overview
The Office Coordinator serves as the primary on-site support for daily workplace operations at Mobility Global’s New York City office in Times Square. This role is responsible for helping ensure the office operates smoothly, professionally, and in alignment with company standards. This position acts as the first point of contact for employees, visitors, and vendors, while supporting workplace operations, facilities coordination, and day-to-day office needs in a fast-paced corporate environment.
Core Responsibilities
Front Desk & Workplace Support
- Serve as the primary front desk contact for employees, visitors, and vendors.
- Manage visitor check-in procedures, access coordination, and overall reception coverage.
- Support conference room scheduling, meeting logistics, and general office coordination.
- Provide day-to-day workplace support and help resolve routine office issues in a timely and professional manner.
Facilities & Vendor Coordination
- Coordinate with building management, property services, and external vendors to support office operations.
- Submit and track maintenance requests, service tickets, and follow-up items.
- Monitor office supplies, pantry and breakroom inventory, equipment, and overall workplace readiness.
- Escalate facilities-related issues as appropriate.
Safety & Security Support
- Support execution of local safety, security, and emergency response procedures.
- Assist with visitor management processes, badges, and access-related coordination.
- Coordinate or support office drills, building notices, and workplace compliance activities as directed by Facilities or Security leadership.
Administrative & Operational Support
- Assist with invoice tracking, vendor records, and workplace documentation.
- Support office events, employee engagement activities, and on-site workplace initiatives.
- Maintain organized records related to service activity, office operations, and vendor coordination.
Qualifications
- 3–5+ years of experience in office coordination, workplace support, facilities support, or administrative operations.
- Strong communication, interpersonal, and customer service skills.
- Highly organized, detail-oriented, and able to manage multiple priorities effectively.
- Experience working in a corporate office environment required.
- Experience supporting a high-traffic office or headquarters environment preferred.
