The Administrative and Program Specialist will provide administrative support to the UNITAS: Inclusive Education (CLAS UNITAS) and Center for Inclusive Education (CIE). The Administrative and Program Specialist will be responsible for the administrative support of CLAS Associate Dean for Inclusive Education and the tasks of maintaining the needs of CLAS UNITAS and the CIE.
Work closely with the CLAS Associate Dean for Inclusive Education and CIE Director to manage operations, plan and promote events, and to help ensure that operational and tactical goals are executed effectively and on time. Limited local travel and occasional attendance at evening events is anticipated. The Administrative and Program Specialist will support undergraduate and graduate students with information, support, and communication about co-curricular academic preparation, enrichment, experiential learning, and professional development opportunities for qualified students. The Administrative and Program Specialist will work closely with other CLAS staff to support the overall implementation and operation of CIE’s student support offerings. The Administrative and Program Specialist will support the execution of events, programs, and services for the CLAS CIE and activities related to UNITAS: Inclusive Education efforts.

- Communications:
- Support UNITAS: Inclusive Education efforts in the College of Liberal Arts and Sciences. Coordinate and planning support for monthly CLAS UNITAS: Inclusive Education (CLAS UNITAS) meetings, transcribing meeting minutes. Coordinate communications with CLAS college and department UNITAS committees.

Administer the College of Liberal Arts and Sciences’ Center for Inclusive Education’s (CIE) student application process, application summaries. Assist in the implementation and execution of CLAS UNITAS strategic objectives, initiatives and activities. Provide outreach to the CLAS community in support of expanding and enhancing services for undergraduate and graduate students. Drafting and editing memos, reports, monthly newsletters, and other updates; event promotion; liaising with key partners at other universities, as well as faculty, students and staff at Villanova; coordinating with CLAS UNITAS-assigned graduate assistants.

Manage budget and procurement process for UNITAS: Inclusive Education and Center for Inclusive Education (CIE). Management of CLAS UNITAS and CIE submittable accounts, including creation of new submission forms, data entry, data clean-up and generation of targeted lists for student support systems; management of CLAS UNITAS and CIE social media accounts (in conjunction with CLAS Communication Office); management of CIE student lists, records, meeting minutes, and testimonials. Benchmark, create and maintain knowledge resources for support opportunities for undergraduate and graduate students in CLAS. Handle inquiries via phone, email, and office contact throughout the day.

- Identify and reserve meeting spaces for meetings, special programs, and events. Support the CLAS UNITAS ecosystem through participation in programming and attendance at select events. Maintain collaborations with CLAS academic departments and offices; and University offices involved in supporting students experiential education needs. Creation and maintenance of various promotional and events lists.
Minimum Qualifications:
Formal Education: Bachelor’s degree required.
Minimum Work Experience:
- Understanding of managing an academic office environment
- Knowledge and understanding of Villanova’s mission, UNITAS programs and context.
Work Skills:
- Must be comfortable working in a dynamic environment.
- Must be self-motivated and results oriented.
- Must take initiative where appropriate.
- Must demonstrate strong organizational and interpersonal skills.
- Must be able to demonstrate excellent writing and verbal skills.

- Excellent computer skills, command of Microsoft Office Suite, and the ability to learn new computer programs (e.g., Banner).
