Job Summary
The GME Program Assistant provides support to Residency/Fellowship Program Director(s)/GME Program Administrator in maintaining program accreditation. The position requires an understanding of national accreditation policies, national recruitment processes, national databases, and institutional policies plus initiative and independent judgement. The position assists the GME Program Administrator in medical students/physician recruitment, maintaining databases, communicating with faculty and residents on a wide range of issues, and managing internal and external relationships.
Minimum Qualifications
Minimum Education: Associate's Degree
Minimum Years of Experience: 3 Years of Professional Administrative Experience and/or GME Experience
Substitutable Education & Experience (Optional): In lieu of an Associate’s and 3 Years of Professional Administrative Experience and/or GME Experience, will consider one of the following combinations:
- High School Degree (or Equivalent) and 4 Years of direct GME Experience;
- Bachelor’s Degree in Business Administration, Healthcare Administration, or Related Field.
Required Certifications/Licensure: None.
Required Training: None.
Essential Functions
- Supports residency program accreditation activities to include self studies, site visits, special reviews, and documentation for GMEC approval.
- Assists with HR functions for residents to include employment requirements, visas (when applicable), time off/leaves of absence (adhering to accreditation limitations), and payroll; provides guidance and assistance to residents with verifications, loan forbearance, notarization, etc.
- Supports resident recruitment activities to include website, social media, and related promotional information; the applicant screening process; interview materials and schedules; virtual and in-person interviews and interview logistics; and materials for the rank order process.
- Assists in curriculum administrative functions to include gathering data for core competencies, milestones, and evaluations of residents; the faculty and rotations evaluation process; annual in-training exams; resident orientation; logistics of conferences and didactics (e.g. grand rounds, noon conferences, and special educational sessions); and documentation in ACGME Accreditation Documentation System (ADS) of faculty and resident data to include procedure and visit statistics and scholarly activity.
Duties & Responsibilities
- Supports planning and implementing departmental events including resident orientation, graduation, program retreats, clinical competency committees, the Annual Program Evaluation (APE), and other meetings and program-related events.
- Enters data into the GME residency management software and ACGME accreditation data system; the national Electronic Residency Application system (ERAS) and its interface for residency recruitment; and National Residency Matching Program (NRMP).
- Assists in managing resident rotations and call schedules; assists in tracking and analyzing clinical and educational work time and reconciles with the LMC Reimbursement team to ensure accuracy of CMS cost report as well as compliance with accreditation work hour requirements.
- Assists in managing resident and program expenditures.
- Performs all other duties as assigned or as necessary for the success of residency programs and GME.
