GENERAL SUMMARY
This position is responsible for assisting and supporting Project Managers, Estimating Teams and/or Project Engineers in performing multiple administrative functions to ensure efficient, cost effective and professional project operations.
ESSENTIAL JOB ACCOUNTABILITIES
- Support Project Managers, Estimating Teams and Project Engineers with validation of Disadvantaged Business Enterprise (DBE) certifications and compliance documentation during the Project’s Bidding Phase (Pre-award), including good faith efforts to comply with State and Federal requirements for DBE participation.
- Support the project managers with attainment of DBE supplier participation goals mandated in the prime contract.
- Support the project team’s documentation of the validation of DBE’s commercially useful function requirements, DBE payment certifications, and Granite’s good faith efforts to attain DBE goals during the Project Execution Phase (Post-award) to ensure compliance with Federal and State contract requirements.
- Prepare and update project Tracking Logs and submit to Project manager to ensure Project progress is accurately measured.
- Review and update Materials Request Form (MRF) with correct cost codes for internal material transfers to properly account for project costs.
- Assist Project team in preparing subcontractor payments and prime contract billings to ensure subcontractor payments and client billings are timely.
- Prepare extra work billings from Daily Extra Work Reports to ensure timely payment from owner and certified payrolls are in alignment.
- Assist project team in obtaining quotes from subcontractors and vendors to support the project to ensure competitive pricing and terms.
- Perform a variety of administrative and office support functions to ensure the daily operations of the department run efficiently.
- Assist Project Manager and Project Engineer in translating cost estimates into the project budgets including setup of project budgets, cost codes, project workers’ compensation codes and historical cost tracking codes to ensure accurate project budgeting.
- Maintain project documentation and safekeeping to ensure compliance with project document management processes and systems.
EDUCATION AND WORK EXPERIENCE
- High School diploma or equivalent required
- BA or Associates Degree or equivalent experience preferred
- 2+ years administrative work experience required
- 4+ years construction administration experience preferred
KNOWLEDGE, SKILLS, AND ABILITIES
- Team player
- Proficiency with MS Office products (Word, Excel, Outlook, etc.)
- Excellent interpersonal, communication (verbal and written), and organizational skills
- High attention to detail, timeliness and accuracy
- Experience with Project Purchasing (Materials, Subcontracts, Construction Site Support) and Account Payable processing in Oracle, JD Edwards, SAP or other ERP system preferred
- Experience with construction project administration including cost tracking and project controls
- Ability to work independently and prioritize multiple tasks with deadlines
- Potential Travel 25-50% of time
