ABOUT THE ROLE:
The Clinical Applications Specialist is responsible for guiding the planning, implementation, training and monitoring of the CH Electronic Medical Record and associated applications with the goals of meeting quality standards, supporting clinical, business, and operational system best practices, and ensuring compliance with federal and state regulations.
FUNCTIONS OF THE POSITION:
EMR Maintenance & Oversight:
- Basic understanding of applications and computer technology.
- Responsible for the development, operations, and maintenance of the electronic medical record (EMR).
- Works with other departments, vendors, clinicians, staff, and administration to maximize the usefulness of the EMR system.
- With direction from the EMR Team and Medical Leadership committee, will assist with health informatics implementation and maintenance, including data standardization.
- In collaboration with the Director of IT Applications, assists with interface development, systems interoperability, and compatibilities in collaboration with the EMR Team and Medical Leadership committee.
- Will be responsible for understanding clinical and clerical workflows and proactively work to ensure that the EMR maximally and efficiently supports clinical workflows and daily practice operations.
- Responsible for template design and other functions to facilitate and support maximal integration, data capture, and efficient utilization of EMR.
- Responsible for the support of the implementation of voice recognition software (Dragon) for end users.
- Responsible for IdenTrust set up and renewals for providers.
- Responsible for the External Provider Portal and the Internal EMR Patient Portal.
- Responsible for Medent Mobile activation, set-up, and password management.
- Works with various external organizations on EMR related projects as needed.
Reports/Audits:
- Works closely with the Director of IT Applications and others to ensure CH’s Electronic Medical Record workflows capture the needed data to ensure quality in care delivery and meets reporting requirements for incentive programs.
- Will become proficient in report writing as needed to support leadership and appropriate committees.
- Supports and participates in the development and implementation of HIPAA risk assessments in coordination with the CH Compliance and Risk Manager. Provides EMR audit reports as needed.
- Works with IT vendors to ensure systems are running smoothly. Point of contact with EMR and other associated software vendors.
- Act as a principal CH point of contact to help identify and resolve technical issues and communicates status and changes to management and stakeholders. Works with Oracle and other vendors to resolve.
Training and Instruction:
- Coordinates the development and implementation of comprehensive CH EMR training and education programs, and the development of comprehensive supporting instructional materials.
- Will develop new user EMR profiles and train all new clinical employees and providers the week of new hire orientation.
- Will support end users with Ad Hoc meetings and on-site Medent support when a need is identified for additional training, education, and support.
- Under the direction of the Director Clinical Services, works closely with the EMR Team and Super Users to ensure training is effective, engaging, and easy to follow for end users with a goal to ensure maximal standardization and reduced variation in the use and application of the EMR in practice operations.
- Will have shared oversight of the Super User training in collaboration with the EMR Team and will communicate and set the agenda for monthly Super User trainings.
OTHER DUTIES:
- Assist in developing policies and procedures relevant to the health information systems and processes.
- Must be able to travel to all sites as needed.
- Coordinates roll out updates and other IT changes with appropriate vendors.
- Assists in procuring and replacing computer equipment and adding and removing users in conjunction with appropriate vendors.
- Assist with off-site Flu Clinics.
- Other duties as assigned.
SKILLS REQUIRED FOR SUCCESS:
- Associates or bachelor’s degree in related field preferred or equivalent work experience.
- Clinical degree or certification required.
- Demonstrated strong clinical knowledge with a minimum of two years of clinical experience and or medical office experience with advanced knowledge in utilizing an EMR.
- Advanced knowledge of Microsoft Windows and MS Office Systems.
