The Role-
The Assistant Project Manager works alongside one Project Manager on a luxury custom home, from pre-construction through closeout, with one shared goal: an exceptional experience for the owner. You'll own key parts of the project — selections, RFIs and submittals, invoice coding, change order drafts, and meeting documentation — so the PM can stay focused on the owner and the build. Problem solving and collaboration are the core of the job. Paired with a single PM, you'll see how every part of a $10–20M home comes together and build the skills to run your own project.
What You'll Do
Client Experience
- Communicate with your PM daily on priorities, open items, and issues
- Prepare OAC meeting agendas with the PM, take minutes, and distribute action-item lists
- Draft weekly or monthly progress updates for PM review
- Track open decisions and follow up with owners, architects, and designers as directed by the PM
- Represent MCC professionally with owners, design teams, and trades
Selections & Allowances
- Maintain the project selections tracker, including due dates, lead times, and allowance status
- Coordinate samples, quotes, and approvals with designers and vendors
- Flag selections that affect the schedule or budget to the PM early
Cost & Billing
- Code subcontractor and vendor invoices monthly against the budget for PM approval
- Update budget forecasts in Procore with the PM as costs and commitments change
- Assist the PM in preparing monthly owner draws (AIA G702/G703)
- Draft change orders and track pricing for PM review
Documentation
- Manage RFIs and submittals in Procore, from logging and routing through closure
- Make sure every spec, selection, and drawing revision reaches the superintendent and trades
- Keep project files organized and current in Procore
Preconstruction
- Assist the preconstruction team as needed ahead of project start
Schedule & Field
- Update the master schedule and three-week look-ahead with the PM, reconciled weekly, and flag any completion-date impacts
- Coordinate with suppliers and trades under the PM's direction, including long-lead items and delivery dates
- Spend time on site regularly, supporting the superintendent on quality, schedule, and cleanliness
Closeout
- Build and track punch lists with the superintendent
- Assemble O&M manuals, warranties, and as-builts
- Track warranty items through to completion

- Accuracy: invoices, forecasts, and logs the PM can rely on without rework
- Responsiveness: RFIs, submittals, and selections moving on time, with nothing stuck
- Communication: the PM hears about open issues from you first, and trades and vendors get clear, timely information

- Organization: project files and drawings current at all times
- Follow-through: action items closed on time
What You Bring
- 2+ years in construction as an assistant project manager, project engineer, or project coordinator, ideally with a high-end residential or commercial GC
- A working understanding of construction documents, budgets, and the sequence of a build
- Experience working with subcontractors, vendors, and clients to meet deadlines
- Proficiency in Procore and Excel
- Self-motivated and able to work independently, with strong organization and follow-through
