Certified Medical Assistant (CMA)
Job Title: Certified Medical Assistant
Department: Medical Support Staff
Reports To: Clinical Lead, Practice Administrator, & Managing Physician
Primary Job Responsibilities:
- Rooming Patients
- Assist patients from lobby to designated exam room
- Obtain full set of vital signs including height and weight
- Collect appropriate data regarding patient’s chief complaint
- Prepare patient and chart by obtaining medical records, labs, radiological and other procedural reports for the physician
- Messages
- Process patient phone calls and assigned tasks in a timely fashion
- Prioritize messages, tasks, and call-backs in an appropriate manner
- Obtain essential information regarding patient concerns and/or requests
- Consult with physician and/or managers as appropriate
- Document all information in patient chart
- Patient Care
- Schedule appointments and procedures
- Exude excellent customer service and professionalism, always
- Forecast provider schedules on a weekly/daily basis to assure physician time is optimized for patient care.
- Chaperone and assist with procedures as requested and directed by a physician
- Obtain prior-authorizations for procedures and/or medications
- Coordinate with physician regarding the timely facilitation of prescription requests / refill requests
- Serve as the liaison between the physician & patient (acting only by direction of the physician and within the limitations of your scope of practice as a medical assistant)
- Update scheduling templates to reflect physician time off, call schedule updates, etc., and communicate changes to all office & IMA administration
- Educate patients regarding diet, blood pressure, self-injection, medication administration, etc. only as authorized by a physician
- Prioritize workload to optimize patient care within a reasonable time frame and notify supervisor of any inability to carry out specific duties
- Frequently evaluate the quality assurance of patient care
Job Responsibility Includes (but is not limited to):
- Practice cost containment when using supplies
- Meet goal expectations in a timely fashion.
- Adequately communicate with supervisor and/or team if goals cannot be met
- Submit paperwork and/or documentation in a timely fashion
- Clean and restock exam rooms / patient common areas
- Ensure all products kept and used have not expired and replace when necessary
- Act as a resource to both patients & other medical support staff when appropriate
- Maintain licensure, certifications, and other educational requirements as well as maintaining proficiency of technical skills and professional capabilities
- Attend department and staff meetings; contribute suggestions/recommendations
- Maintain patient confidentiality in all matters and all times. Remain current and compliant with both HIPAA & OSHA mandates & guidelines
- Maintain a clean and organized work space
- Maintain a neat and professional appearance as specified in the dress code policy
- Collaborates with Administration in maintaining and upgrading the Greenway Intergy system.
- Works professionally with Administration, the clinical team, other hospitals/offices/facilities, and physicians/clinicians to ensure patient needs are met for clinical and scheduling purposes.
- Interactions should be both diplomatic and professional at all times.
- Performs other duties as assigned.
Education: Graduation from accredited program for Medical Assistants, Current CMA (or RMA) certification, & current BLS certification.
Experience: One year medical office experience with one year of experience in a clinical setting.
Performance Requirements:
Knowledge:
- Knowledge of medical practice protocols related to certified medical assistant position.
- Knowledge of medical terminology for interpreting physician instructions and patient needs.
- Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
- Knowledge of confidentiality requirements related to patient information.
Skills:
- Skill in handling incoming phone calls and triaging appropriately.
- Skill in both written and verbal communication.
- Skill in serving as resource to clinic, front, & scheduling staff with questions or issues and about the Intergy system or IMA processes and protocols.
Abilities:
- Ability to communicate instructions clearly.
- Ability to collaborate with all levels of clinicians and staff to meet needs.
- Ability to analyze data reports and make recommendations for improvement.
- Ability to type 60 words per minute using word processing software.
- Ability to flexibly respond to changing demands.
- Ability to organize and prioritize tasks effectively.
- Ability to work with little supervision.
- Ability to establish and maintain effective working relationships with patients, employees, and the public.
- Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, EHR Intergy and appropriate practice management software.
Equipment Operated: Standard office equipment with emphasis on telephone, fax, photocopier, and computer hardware/software.
Work Environment: Work performed in a medical office environment that is well lighted and well ventilated. Work may be stressful due to a busy office. This position involves continual interaction with other IMA personnel and with patients, both face-to-face, through means of written correspondence, and on the phone.
Physical & Mental Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines. Must possess the physical and mental abilities to perform the tasks normally associated with a Certified Medical Assistant clinical staff such as some walking, bending, and reaching. Repetitive use of computer may lead to nerve damage without ergonomic measures. Occasionally stress from dealing with patients.
Position Type/Expected Hours of Work
The employee must be available during the work hours of 8:00 am and 5:00 pm, Monday through Friday, and is scheduled to work 40 hours each week to satisfy the needs of this position. Occasional overtime work may be required as job duties demand, per Supervisor authorization and direction. Position will be required to travel to satellite office location in Wasilla, AK occasionally, with occasional Saturday clinics.
