The Role We Want You For
The Facilities Procurement Manager is responsible for overseeing procurement activities and supporting the operational efficiency of Clayco’s corporate office facilities. The position also plays a key role in coordinating facility projects and administering lease and sub-tenant obligations across all corporate locations.
The Specifics of the Role
- Lead procurement activities for facilities-related goods and services, ensuring cost-effective and timely sourcing.
- Review, negotiate, and manage contracts with vendors, service providers, and landlords to ensure compliance with company policies and risk standards.
- Develop and maintain strong vendor relationships, including performance tracking, issue resolution, and ongoing evaluation.
- Oversee lease administration for corporate office locations, including critical date tracking, compliance, and coordination with internal stakeholders.
- Manage sub-tenant administration, including agreements, billing coordination, and communication with sub-tenants.
- Coordinate special facilities projects across all Clayco corporate office facilities, ensuring alignment with timelines, budgets, and organizational priorities.
- Approve and process facilities-related invoices, ensuring accuracy, proper coding, and alignment with budgets and contracts.
- Assist with capital expenditure (CapEx) planning, including budgeting, forecasting, and tracking of facility-related investments.
- Oversee the procurement and ordering of office supplies and ensure consistent availability across all locations.
- Provide oversight of Clayco’s amenity services (e.g., pantry, coffee, shared spaces), ensuring quality, cost control, and positive employee experience.
- Support general administrative functions related to facilities operations, including documentation, reporting, and coordination across departments.
- Collaborate with internal teams (finance, legal, operations) to support contract execution and procurement strategy.
- Monitor facility-related expenditures and identify opportunities for cost savings and operational improvements.
- Ensure compliance with all applicable regulations, company policies, and safety standards related to facilities and procurement.
Requirements
- High school diploma/GED.
- Degree in accounting, business management or a similar field preferred.
- 2+ years of experience as a procurement officer or in a similar position.
- Proficiency in Microsoft Office and purchasing software.
- Strong communication and negotiation skills.
- Good analytical and strategic thinking skills.
- Supervisory and management experience.
- Strong verbal and written communication skills are a requirement for Procurement Specialists. They use these skills to determine their company’s product needs and to create constructive relationships with vendors.
