INTRODUCTION
We are inviting applications for a part-time Fiscal & Administrative Support Specialist position to support the Office of Faculty Success. Duties will include fiscal and budgetary tasks related to department purchases and travel-related expenditures, reconciliation of small purchase cards, order entry through eVA, and providing administrative, customer service and reception support for the Office of Faculty Success.
ROLE AND RESPONSIBILITIES
Duties and Responsibilities:
Provides Fiscal Support
- Works to assure the budget reflects mission, vision, and core priorities.
- Provides fiscal support, monitors financial accounts, and maintains a small purchase credit card (SPCC).
- Coordinates with leadership to process travel preauthorizations, expenditures, and reimbursements, etc. through Chrome River, etc.
- Purchases department supplies and submits orders through the state ordering system (eVA).
- Manages employment paperwork (MOUs, position descriptions, etc.) for new hires, including use of Adobe Sign for signatures and data entry in the ePAR system.
- Supports Skilled Services Contracts with guest speakers for programs.
- Coordinates with the Office Manager on catering needs.
Provides Administrative Support
- Coordinates with the Office Manager to make website updates utilizing Cascade (a content management software).
- Completes administrative tasks as assigned to include scheduling, setting up virtual meetings, and creating marketing materials.
- Provides customer service and reception support.
- Provides day-of-support for events including setup, check-in, and cleanup.
- Other duties as assigned.
Reports to the Assistant Director of Operations and Adjunct Support, Faculty Success.

- Ability to work independently as well as be a good team member.
- Ability to process detailed work with accuracy and efficiency.
- Ability to appropriately handle confidential information.
- Excellent customer service and people skills to provide a welcoming environment.
- Knowledge of basic office practices.
- Must be available to work 25 – 28 hours per week during our weekday office hours.
- Proficiency with computers and software applications such as MS Office / 365.
- Strong verbal and written communication skills.
- Strong interpersonal and leadership skills.

- Ability to learn technology applications quickly.
- Experience working with data entry.
- Experience working with web applications.
- Experience with social media and creating marketing materials is a plus.
