POSITION OVERVIEW: The Sales & Estimating Coordinator provides administrative, sales, and estimating support to the commercial construction team. This position is responsible for coordinating bid opportunities, preparing proposal documents, maintaining customer and project records, assisting with estimating activities, and supporting business development efforts. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced construction environment.
Qualifications
- Associate's/bachelor’s degree preferred.
- Experience in commercial construction, roofing, or specialty contracting a plus.
- Familiarity with construction plans, specifications, and bid documents a plus.
- Experience with CRM systems, estimating software, or project management platforms a plus
- Knowledge of Bluebeam, On-Screen Takeoff, The EDGE, Procore, or similar software a plus
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Ability to manage multiple projects and deadlines simultaneously.
- Strong attention to detail and accuracy.
Key Responsibilities
Sales & Business Development Support
- Maintain and update customer and prospect information within CRM systems.
- Assist with lead tracking, opportunity management, and follow-up communications.
- Coordinate meetings, customer visits, networking events, and presentations.
- Monitor bid platforms and construction project databases for upcoming opportunities.
- Assist with marketing initiatives, customer outreach campaigns, and referral programs.
- Support customer relationship management efforts and maintain professional communications with clients.
Estimating Support
- Assist estimators with bid preparation and project documentation.
- Organize plans, specifications, addenda, and bid documents.
- Assist tracking vendor and subcontractor pricing.
- Assist in preparing bid packages and proposal templates.
- Maintain estimating files and project records.
- Track bid schedules, deadlines, and proposal submissions.
- Coordinate bid delivery and electronic submissions.
Administrative & Project Coordination
- Maintain project opportunity logs and reporting dashboards.
- Assist with contract and document preparation following project awards.
- Coordinate project turnover documentation between estimating and operations teams.
- Prepare reports related to sales activity, estimating performance, and project pursuits.
- Maintain electronic filing systems and project records.
- Support department scheduling and calendar management.
