Position Overview

The Assistant Project Manager serves as a key member of the project management team and supports the successful execution of commercial construction projects from preconstruction through final closeout.

This individual assists with project administration, procurement, scheduling, budgeting, documentation, subcontractor coordination, and client communication. The successful candidate must be highly organized, detail-oriented, and capable of managing multiple priorities while supporting several projects simultaneously.

Responsibilities

Project Administration

· Support the Project Manager throughout the lifecycle of construction projects.

· Assist with project setup, buyout, procurement, and closeout activities.

· Prepare and maintain project logs, reports, and documentation.

· Assist with contract administration and subcontract management.

· Ensure project records are organized, accurate, and current.

Planning & Coordination

· Assist with preconstruction planning and project startup activities.

· Coordinate subcontractors, vendors, suppliers, and consultants.

· Help maintain project schedules and milestone tracking.

· Monitor material procurement and delivery schedules.

· Support project turnover meetings and planning sessions.

Documentation & Communication

· Manage the submittal and shop drawing process.

· Prepare and track Requests for Information (RFIs).

· Distribute plans, specifications, revisions, and project updates.

· Assist with meeting agendas, meeting minutes, and action item tracking.

· Maintain clear and professional communication with owners, architects, engineers, subcontractors, and internal team members.

Financial Management

· Support project budgeting and cost tracking.

· Assist with change order management and pricing review.

· Prepare draft Applications for Payment (AFPs).

· Review subcontractor and vendor invoices for completeness and accuracy.

· Assist with monthly cost forecasting and financial reporting.

Field Support

· Conduct jobsite visits to support project teams.

· Assist Superintendents with project documentation and field coordination.

· Monitor project progress and communicate schedule impacts.

· Help identify opportunities to improve productivity and efficiency.

· Support project closeout, punch list completion, and turnover activities.

Safety & Quality

· Promote a culture of safety on every project.

· Support compliance with company safety policies and OSHA requirements.

· Assist with maintaining quality standards and project documentation.

· Help ensure projects are completed in accordance with plans, specifications, and contract requirements.

Qualifications

Required

· Bachelor's Degree in Construction Management, Engineering, Architecture, or a related field; or equivalent construction experience.

· Minimum 3 years of experience as an Assistant Project Manager or Project Engineer supporting commercial construction projects.

· Experience supporting projects ranging approximately from $1M to $6M or larger.

· Strong organizational and time-management skills.

· Ability to manage multiple projects and competing priorities in a fast-paced environment.

· Strong written and verbal communication skills.

· Ability to read and interpret construction drawings and specifications.

· Proficiency with Microsoft Office, including Excel, Outlook, Word, Procore, and SharePoint.

· Valid Florida Driver's License and reliable transportation.

Preferred

· Experience working for a General Contractor.

· Procore experience.

· Experience with project scheduling software.

· Experience in restaurant, retail, office, hospitality, entertainment, or commercial construction.

· OSHA Certification.

· Working knowledge of project accounting principles, budgeting, and forecasting.
