ROLE AND RESPONSIBILITIES
As Executive Assistant to 2 VPs (VP, Talent and VP, Workplace & Real Estate), you’ll be responsible for keeping the leaders and teams organized, aligned, and helping them maintain focus while scaling for growth and delivering an exceptional internal and external experience. In this role, you’ll be directly supporting the VP, Talent and VP, Workplace & Real Estate to strategically manage day-to-day administrative and operational needs, infuse Figma’s culture and values in the work to create a meaningful Figmate experience, and cross-functionally collaborate with the broader People Org and stakeholders across Figma.
What you'll do at Figma:
- Assist VPs (Talent and Workplace & Real Estate) with calendar, travel, meetings, tasks, notes, emails
- Serve as a strategic partner to the VPs and their leadership teams, with a focus on team cohesion, operations, and planning
- Identify areas to optimize the VPs’ time and make recommendations regarding time management, prioritization, and business needs
- Act as a delegate for the VPs by signing off on expenses, approving POs, and managing other tooling as needed, with careful attention to internal policy
- Find opportunities for process optimization across team and company workflows
- Prepare and/or build content, presentations, and key documents for the VPs
- Partner cross-functionally with the People Team and other internal teams to ensure alignment on projects, company milestones, and internal events
BASIC QUALIFICATIONS
- 6+ years of experience in a senior administrative support role
- Experience working in a fast-paced environment with the ability to adapt quickly to changing demands and dedication to fostering inclusivity and navigating initiatives through an optimistic lens
- Outstanding communication skills and the ability to connect with a broad spectrum of stakeholders internally and externally, both in person and online
- The ability to shift gears and prioritize based on the volume and urgency of requests
- Expertise in prioritizing, connecting dots, and anticipating needs and a commitment to being trustworthy, reliable, and maintaining the strictest confidentiality
PREFERRED QUALIFICATIONS
- Experience with our product suite
- Supported teams of 100+ people (bonus points for complex global teams)
- Previous experience supporting Recruiting or Workplace teams

COMPENSATION
- Annual Base Salary Range: $127,000—$269,000 USD
If based in Figma’s San Francisco or New York hub offices, this role has the annual base salary range stated below. Job level and actual compensation will be decided based on factors including, but not limited to, individual qualifications objectively assessed during the interview process (including skills and prior relevant experience, potential impact, and scope of role), market demands, and specific work location. The listed range is a guideline, and the range for this role may be modified. For roles that are available to be filled remotely, the pay range is localized according to employee work location by a factor of between 80% and 100% of range. Please discuss your specific work location with your recruiter for more information.

Does an HR Assistant role qualify for CPT authorization?
It qualifies if your school's curriculum includes HR, business administration, organizational behavior, or a related program and the duties are an integral part of that curriculum. Roles focused on recruiting coordination, employee onboarding, HRIS data entry, and benefits administration typically satisfy that requirement. Your DSO makes the final determination based on your specific program and the employer's job description.
Can I do CPT for an HR Assistant role at a company that doesn't sponsor visas?
Yes. CPT authorization comes from your school, not USCIS or the employer. The employer doesn't file anything with USCIS for CPT. What matters is that your DSO approves the placement and the work is curricular. Visa sponsorship only becomes relevant if you later need H-1B visa or another status after graduation.
How do I find HR Assistant employers that have experience hiring F-1 students on CPT?

You can filter by job title and authorization type to surface relevant openings without cold-applying to employers who may not recognize CPT as valid work authorization.
What happens if my CPT HR Assistant role runs longer than one semester?
Each CPT authorization is issued per employer, per term. If your role continues into a new semester, your DSO must issue a new I-20 with updated CPT dates before the prior authorization expires. Twelve months or more of full-time CPT eliminates your OPT eligibility, so track cumulative full-time hours carefully if you plan to use OPT after graduation.
Do HR Assistant duties need to match my major exactly for CPT to be valid?
The duties don't need to mirror your major course titles, but they must be integrally related to your curriculum. A management information systems student doing HR data analytics work can qualify. A computer science student doing purely administrative filing tasks likely won't. Bring the job description to your DSO and let them map it against your program requirements before you commit to the employer.
