We're looking for a Virtual Executive Assistant to become a key part of our remodeling company. This is much more than an administrative position—you'll help manage our social media, customer communication, marketing, and keep our systems running smoothly.

Responsibilities

• Manage company email inboxes and customer communications
• Maintain calendars and schedule appointments
• Manage and update our Go HighLevel CRM
• Follow up with leads, customers, and subcontractors
• Perform data entry and maintain accurate business records
• Create and manage invoices, estimates, and customer files
• Assist with bookkeeping tasks, including invoicing, expense tracking, and basic financial recordkeeping using QuickBooks
• Organize digital files using Microsoft Office and Google Workspace
• Create and schedule content for Facebook, Instagram, Google Business Profile, and other social media platforms
• Respond to social media messages, comments, and online reviews
• Assist with email marketing campaigns and customer follow-up
• Research products, vendors, and business solutions
• Help develop and improve company systems, procedures, and documentation
• Perform other administrative and operational tasks as needed

Qualifications

• Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or similar role preferred
• Experience with Go HighLevel is highly preferred
• Proficiency with Microsoft Office Suite, Google Workspace, and QuickBooks
• Strong computer skills and the ability to quickly learn new software
• Outstanding organizational and time management skills with the ability to prioritize tasks in a fast-paced environment
• Ability to work independently while managing multiple projects simultaneously
• High attention to detail and strong problem-solving skills
• Bilingual (English/Spanish) is a plus but not required

Additional Responsibilities

• Occasionally travel to local job sites to photograph and video completed projects, work in progress, and company events for use on our website, social media platforms, and marketing materials.
• Organize, edit, and upload media to our digital file system.
• Create engaging social media posts, reels, and project highlights using photos and videos from the field.
• Work closely with the owner to develop marketing content that accurately represents our company and completed projects.
• Represent Lonestar Creations & Remodeling professionally while interacting with homeowners, clients, subcontractors, and team members during job site visits.
• Must have reliable transportation and be willing to travel to job sites throughout the North Dallas area as needed.
