Position Summary

Houston-based accident reconstruction and forensic engineering firm is seeking a professional, organized Front Desk Administrator/Business Development Coordinator to serve as the first point of contact for visitors and callers while providing broad administrative support to staff and consultants. The role also coordinates social media, website updates, and marketing content scheduling in support of the company’s business development goals. This position is well suited to a dependable team member who communicates clearly, manages competing priorities, and takes pride in keeping office operations and marketing communications organized, timely, and professional.

Key Responsibilities:

· Welcome visitors, answer and route calls, and support a professional, secure reception experience.

· Receive, log, sort, and distribute mail, deliveries, payments, case materials, and other incoming items.

· Prepare, proofread, format, and distribute correspondence, reports, forms, agreements, and other business documents.

· Maintain accurate electronic and paper records, databases, project files, correspondence logs, and reference materials.

· Provide administrative support for project intake, follow-up communications, closeout activities, billing and collection correspondence, and general data entry.

· Coordinate shipping, courier services, travel arrangements, mailings, meetings, and company events as needed.

· Coordinate the company’s social media, blog, electronic newsletter, email campaigns, and website updates in collaboration with our in-house business development team as well as our outside contractors. Create and schedule content, maintain the marketing calendar, and ensure communications are timely, accurate, and aligned with business development goals.

· Marketing database entry, mailings.

· Maintain office, kitchen, first-aid kits and supplies, printing, and marketing supplies and help keep shared work areas orderly and ready for use.

· Provide backup support to administrative, project, accounting, and business development staff.

· Perform daily front-office opening, closing, and facility procedures.

· Perform other administrative duties as assigned.

Qualifications

· At least three years of administrative support, office coordination, and reception experience.

· Proficiency with Microsoft Office applications and Windows-based systems; experience with databases and document publishing tools is helpful.

· Strong written and verbal communication, proofreading, organization, and customer-service skills.

·Ability to handle confidential information, prioritize multiple requests, work independently, and contribute effectively in a team environment.

· Consistent attention to detail, follow-through, professionalism, and dependability.

Work Environment

This position is based in our Clear Lake, Texas office and supports a professional accident reconstruction and forensic engineering practice. The role includes regular interaction with clients, project coordinators, administrative staff, and technical professionals.

Expected hours: 40.0 per week
