Position Overview
As our Administrative Coordinator, you’ll be the first point of contact for our clients while also serving as a key administrative resource for our team and executive leadership. Every day is different, and you’ll play an important role in creating a positive client experience while ensuring internal operations stay organized and on track.
The ideal candidate is confident communicating with clients, highly organized, detail-oriented, and enjoys juggling multiple responsibilities without letting things fall through the cracks.
ResponsibilitiesClient Experience
· Greet clients and visitors with professionalism and warmth
· Answer incoming phone calls and route calls appropriately
· Take detailed and accurate messages
· Schedule appointments and send appointment reminders
· Assist clients with general questions and direct them to the appropriate team member
· Maintain a welcoming and organized front office
Administrative Support
· Update tax return workflow and client statuses
· Coordinate communication between departments
· Scan, organize, and electronically file documents
· Assist with shredding and document management
· Process incoming and outgoing mail
· Help maintain organized client records
· Support various administrative projects as needed
Executive Support
· Assist the owner with managing email communications
· Organize and prioritize incoming requests
· Prepare files and materials for client meetings
· Help coordinate calendars and appointments
· Follow up on action items and deadlines
· Assist with special projects

Preferred Qualifications
· 2+ years of administrative, executive assistant, receptionist, or office management experience
· Excellent customer service skills
· Strong Microsoft Office and Google Workspace experience
· Experience with CRM, scheduling, or practice management software is a plus
· Accounting, bookkeeping, or tax office experience is a plus, but not required

Schedule
This is a full-time, in-office position.
Standard office hours are Monday through Friday.
Please note: Overtime is required during our busy tax season (approximately February through May). Candidates should be comfortable working additional hours during this period to help support our clients and team.
