About The Role
We are looking for a proactive and ambitious Executive Assistant to join our NYC office and play a critical role in supporting our leadership team. The ideal candidate will be highly organized, resourceful, and adept at managing diverse administrative and executive responsibilities. This role requires exceptional communication skills, a keen sense of discretion, and the capacity to excel in a dynamic and rapidly changing setting.
The Executive Assistant will report to an EVP, primarily supporting three senior executives while also extending support to additional Business Development leaders.
Responsibilities:
- Calendar & Priority Management: Manage calendars for Business Development leaders, prioritizing high-impact meetings, client interactions, and internal alignment
- Team Coordination & Communication: Act as a central point of coordination across the Business Development team and cross-functional partners, ensuring clear communication and follow-through
- Travel Coordination: Coordinate travel arrangements, including flights, accommodations, and logistics, aligned with team schedules and priorities
- Scheduling & Meeting Execution: Organize internal and external meetings, including client meetings and team sessions
- Document Coordination: Track key documents, approvals, and signatures in partnership with internal teams (e.g., legal), ensuring timely execution
- Project Support: Provide administrative support for Business Development initiatives, as needed
- Expense Management: Process expenses in a timely and accurate manner
- Office Management: Own day-to-day operations of the NYC office and assist in maintaining a well-organized and efficient office environment, including ordering supplies and overseeing office equipment
- Ad Hoc Support: Assist with additional tasks and priorities as they arise across the Business Development team
Qualifications
- 2+ years of experience in an administrative or executive support role
- Exceptional organizational and time management skills with strong attention to detail
- Experience managing competing priorities
- Strong written and verbal communication skills
- High level of discretion, judgment, and integrity
- Proactive, resourceful, and solutions-oriented mindset
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Experience supporting multiple executives or a growing team is a strong plus
- NYC-based role requiring 5 days per week in-office, with occasional travel to the Asbury Park headquarters (via company-provided Thursday shuttle) to support senior Business Development leadership
