Executive Personal Assistant to the CFO
Department: Accounting/Finance

Position Summary
We are seeking a highly organized, dependable, and proactive Executive Personal Assistant to the CFO to provide a combination of professional executive support and personal assistance.
This is a unique hybrid role designed for someone who is comfortable transitioning between executive-level business responsibilities and personal tasks throughout the day. The position will directly support the CFO of a rapidly growing group of electrical, telecommunications, construction, and affiliated companies.
As the organization continues to expand and additional companies are established, the CFO’s responsibilities will continue to grow. The primary purpose of this position is to help maximize the CFO’s time by managing administrative responsibilities, coordinating schedules, handling follow-ups, organizing information, and assisting with personal tasks that would otherwise take time away from executive responsibilities.
The ideal candidate is highly organized, trustworthy, resourceful, tech-savvy, and capable of working independently. This individual should be someone who takes initiative, anticipates needs, and is comfortable being given a task or objective and figuring out how to accomplish it with minimal supervision.
Because this position will have access to confidential company and personal information, professionalism, discretion, good judgment, and confidentiality are essential.
Key Responsibilities
Executive & Business Support
- Manage and coordinate the CFO’s professional calendar, appointments, meetings, deadlines, and reminders of any renewals, audits, and/or upcoming deadlines.
- Assist with managing the CFO’s email inbox by reviewing, categorizing, prioritizing, and flagging communications requiring attention or follow-up.
- Schedule and coordinate meetings with company owners, employees, vendors, financial institutions, insurance representatives, attorneys, CPAs, other business partners and outside parties.
- Track outstanding requests and follow up with employees or outside parties on behalf of the CFO and maintain organized follow-up lists for items requiring the CFO’s attention.
- Assist with organizing and filling out documents, correspondence, reports, contracts, and other business records and forward any required documentation on behalf of the CFO.
- Assist with administrative organization as new companies are established and additional personnel are hired.
- Assist with providing proper access to new personnel and help organize and maintain electronic files, shared folders, cloud-based documents, and software systems.
- Coordinate business travel, including flights, hotels, transportation, itineraries, reservations; accompany the CFO on business travel and drive the CFO to nearby locations as needed.
- Prepare meeting materials and organize information needed for meetings or executive review.
- Perform research and gather information requested by the CFO.
- Assist with purchasing, ordering, and researching items needed for office.
- Handle confidential financial, employee, company, and executive information with strict discretion.
- Assist with special projects and other executive administrative responsibilities as needed.
Personal Support
The personal portion of this position is intended to help reduce the amount of time the CFO spends managing routine personal responsibilities and logistics outside of work.
Responsibilities may include:
- Manage and coordinate personal appointments and calendar items.
- Assist with grocery shopping, grocery pickup and other routine household errands.
- Coordinate appointments and services with household vendors, maintenance providers, cleaning services, and other service providers.
- Schedule personal appointments and reservations.
- Assist with personal travel arrangements and itineraries.
- Assist with purchasing, ordering, and researching personal items as requested.
- Pick up and transport the CFO’s child to approved activities, including school-related activities, volleyball practices, or other scheduled activities during the week (on rare occasions).
- Assist with filling out any online forms and documents and keeping them organized.
- Perform other reasonable personal errands and administrative tasks that assist with managing the CFO’s schedule and workload.
This is not a housekeeping position. The role focuses on executive support, organization, coordination, transportation, errands, scheduling, and personal administrative assistance.
Qualifications
- Prior experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Office Manager, or similar support position preferred.
- Exceptional organizational and time-management skills.
- Strong ability to manage multiple priorities and rapidly changing schedules.
- Highly dependable, punctual, and responsible, with availability and the flexibility to accommodate the CFO’s evolving schedule, including occasional schedule changes outside of regular business hours as needed.
- Strong attention to detail, follow-through and problem-solving skills.
- Ability to work independently and take initiative without requiring constant direction.
- Strong technical aptitude with the ability to quickly learn and confidently navigate software, online portals, websites, mobile applications, and other business technology.
- Proficiency with Microsoft Outlook, Excel, Word, Teams, and other Microsoft Office applications preferred.
- Ability to professionally communicate with executives, business owners, employees, customers, vendors, and professional service providers.
- Ability to maintain strict confidentiality regarding both company and personal matters.
- Valid driver’s license and clean driving record required due to occasional transportation responsibilities.
- Ability to successfully complete applicable background and driving-record checks.

Schedule & Work Environment

- Will require flexibility with schedule, based on the CFO’s professional and personal schedule
- Work may take place at the corporate office or other company locations, including CFO’s home office
- May require some driving & travel (on rare occasions); Fuel reimbursement will be provided
This position is best suited for someone who enjoys variety and does not expect every workday to follow the same routine. Some days may be primarily focused on executive administrative responsibilities, while others may include appointments, transportation, errands, company projects, or personal assistance.
Compensation & Benefits
- $60,000 Starting Annual Salary (based on experience)

Due to the nature of this position, the Executive Personal Assistant will have access to confidential and sensitive information concerning company finances, business operations, employees, company owners, family matters, schedules, and other private information.
The successful candidate will be expected to maintain the highest level of confidentiality and discretion at all times and will be required to execute applicable confidentiality and non-disclosure agreements as a condition of employment.
