ABOUT THE ROLE
The Trade Desk is seeking a Workplace Associate to join our dynamic Workplace Services team in Bellevue, WA! Our Workplace Associates are responsible for supporting all day-to-day office operations with the goal of providing a positive, safe, productive, and "best in class" workplace experience. This position is responsible for offering the highest level of customer and employee service while assisting with management of high-volume, high-touch services and programs. We are strong Cultural Ambassadors for The Trade Desk, bringing first-class hospitality and a customer-centric approach to work each day. We are agile, gritty, and engaging. We bring an upbeat, positive attitude to everything we do to accomplish our objectives. Excellent organizational, problem-solving, and written and verbal communication skills are critical to our success. We are multi-faceted, dynamic, and engaging, and our work touches many aspects of what contributes to the success of The Trade Desk and its employees!
What you'll do:
- Working under the direct supervision of your onsite manager, act as a primary point of contact for the office and assist with daily operational workplace requirements, such as: access card management, light reception services as needed, food and beverage, procurement, facilities management, space planning, shipping and receiving, office culture and morale, and vendor management.
- Engage with employees at all levels of the organization to get the "pulse of the culture" within the workplace while providing a positive employee and guest experience for all.
- Manage guest and employee building access in coordination with building management.
- Respond in a timely manner to maintenance issues, such as my area is too hot/cold, chair is broken, desk isn't working, coffee spills etc. by working with the building manager, approved vendors, and the local Workplace Manager.
- Regularly perform building walk-throughs to ensure areas are neat and clean (such as conference rooms and common areas), identifying and dealing with any immediate maintenance or safety issues and checking in with employees as needed.
- Assist with internal employee desk moves and seating changes.
- Craft and disseminate regular office communications regarding workplace updates, food programs, culture and moral activities, and other relevant information.
- Participate in Safety and Security meetings as needed.
- Assist with employee departures, making sure work area is left neat and clean, office supplies are picked up and returned to stock, forward paperwork left behind to the correct individual or discarded, and access cards are collected and returned to the Workplace team.
- Coordinate weekly lunch and pantry programs.
- Assist with new hire onboarding process for employees and contractors in close collaboration with senior business leads, Talent Acquisition, People Ops, IT, and Workplace teams.
- Partner with internal stakeholders and special committees to assist with organizing, planning, budgeting, and identifying outside vendors for in-house activities such as morale events, team meetings, and holiday parties.
- Assist with client and/or large team meeting room reservations, making sure meeting rooms are prepared and presentable, and catered food is organized when required, and meeting rooms are returned to their original configuration. Participate in Safety and Security meetings as needed.
- Partner with the People Operations department to maintain and help enforce workplace policies.
- Support workplace and building security policies, procedures, and systems in partnership with the Global Real Estate team.
- Collaborate with global Workplace Services colleagues on best practices.
BASIC QUALIFICATIONS
- 1+ years of previous experience working in a fast-paced office or professional work environment.
- Experience within tech sector a plus.
- Passion – your work matters, and you deliver it with an upbeat, positive attitude with attention to detail.
- Genuine interest in providing an outstanding level of service.
- Proactive attitude – check in with team early and often, alert the appropriate staff when there's an issue and always strive to provide outstanding customer service.

- Able to respond after hours to emergencies and able to work outside of designated hours as needed.

- Active duties requiring walking, standing, reaching, bending, and crouching as part of daily activities.
- Ability to lift 25 pounds.

This is an onsite position – 5 days a week (Mon. – Fri.)
