Salary/Pay Rate/Compensation: $34.22
Hybrid - 3 days Onsite - 2 Days Remote
Responsibilities
- Maintain highly fluid calendars, and proactively handle complicated priorities to accommodate the most critical business needs
- The ability to work collaboratively and be proactive to anticipate management’s needs and the flexibility to pivot as business needs change
- Familiarity with the logistics of meeting planning including onsite/offsite meetings
- Prepare and validate monthly expense reports
- Make and handle travel arrangements
- Develop and maintain organizational documentation and data management (organization charts, distribution lists, team lists, vacation and holiday calendars)
- Facilitate onboarding of new employees as well as process all employee transitions (transfers and terminations)
- Lead certain procurement workflows (e.g. check requisitions)
- Work with team members on larger projects and programs
- Troubleshoot workplace facility/technology issues and handle office supplies
- Support other Immunology marketing teams ad hoc administrative needs on an as-needed basis and across a wide range of matters
BASIC QUALIFICATIONS
- A minimum of a high school diploma is required. Advanced education or training preferred.
- At least 5 years of administrative experience is required.
- Experience providing support to large and dynamic teams is required.
- The ability to prioritize and achieve results in a fast-paced environment is required.
- Organizational skills and the ability to be very flexible while handling conflicting, shifting, and competing priorities with minimal direction are required.
- Exceptional interpersonal skills and the ability to communicate effectively with all levels of the organization is required.
- Takes initiatives that lead to the resolution of problems, anticipates the situation, acts logically and follows through as required.
- The ability to apply excellent judgment and high emotional intelligence in difficult situations and with varied team members is required. Comfortable with ambiguity and uncertainty.
- Proven ability to work in concert with and collaboratively as part of a team is required.
- Excellent verbal and written communications skills, with extraordinary problem-solving skills, are required.
- Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Co-Pilot and Outlook) is required.
- Experience handling complex calendars via Outlook.

- Knowledge with HR systems, productivity tools and portal technology (i.e. Global Services, Workday, SharePoint, Teams, IRIS, Concur) is preferred.
