Location: Houston TX (On-site/Hybrid)
Position Overview: We are seeking a proactive and detail-oriented Administrative Assistant to support daily office and field operations at one of our South Houston locations.
Primary Responsibilities:
- Coordinate inspections, maintenance, and service requests for office and shop facilities; obtain, compare, and submit vendor quotes for management review and approval.
- Manage incoming and outgoing mail and packages, ensuring timely distribution and shipment.
- Maintain accurate and up-to-date records, files, and databases. Organize documents, reports, and correspondence, ensuring easy retrieval when needed.
- Handle incoming calls, emails, and messages, directing them to the appropriate parties or providing information as needed.
- Perform general clerical duties, including filing, scanning, copying, and data entry.
- Manage office supplies by monitoring inventory levels and placing orders as needed.
- Prepare documents and reports using Microsoft Word and Excel, including letters, spreadsheets, templates, and reports.
- Manage the operations calendar including scheduling meetings and coordinating appointments.
- Assist employees and supervisors with timekeeping and payroll-related questions, including clocking in and out, reviewing timecards, identifying missing punches, and time-off requests.
- Provide support for tracking and uploading company credit card receipts and coding expenses in Ramp.
Qualifications
- 3+ years in an administrative or operations support role.
- Proficient with Microsoft 365 including Excel, SharePoint/OneDrive, and Teams.
