Role Purpose: Support Commercial Project Managers and Commercial Estimators by coordinating daily administrative, estimating, procurement, logistical, and document-control tasks.

The specific tasks of a Project Coordinator may vary depending on the size and type of project, but the core duties typically include:

1. Estimating and Proposal Support

• Assist with bid intake, document organization, and tracking bid deadlines.
• Coordinate vendor and subcontractor pricing requests.
• Track outstanding quotes, addenda, RFIs, and other information needed to complete the estimate.
• Assist with proposal preparation, final assembly, and submission.
• Maintain organized estimating files and submission records.
• Maintain regular follow-up on submitted bids and proposals and track related client communications through final disposition.

2. Project Planning and Scheduling

• Assist Project Managers with project schedules, subcontractor coordination, supplier lead times, and material deliveries.
• Track project deadlines and follow up on outstanding action items.
• Identify potential delays and communicate concerns to the Project Manager or Estimator.

3. Communication and Coordination

• Assist with communication between Project Managers, Estimators, field teams, general contractors, vendors, suppliers, and other project stakeholders.
• Coordinate meetings, walkthroughs, deliveries, and other project-related activities as needed.
• Maintain meeting notes, action items, and follow-up communication.
• Escalate unresolved issues to the appropriate Project Manager or supervisor.

4. Document Control

• Maintain accurate project records, including contracts, permits, RFIs, submittals, change orders, project drawings, specifications, and closeout documents.
• Track drawing revisions and addenda and assist with distributing current information to the appropriate team members.
• Maintain organized electronic project files from the estimating stage through project closeout.
• Assist with gathering and organizing warranty information, operation and maintenance manuals, as-built documentation, and other closeout requirements.

5. Budget and Cost Support

• Assist Project Managers with maintaining project cost records and supporting documentation.
• Help gather vendor and subcontractor pricing for estimates, purchase orders, and change orders.
• Assist with billing backup, cost reports, and other financial documentation as requested.
• Track approved purchase orders and vendor commitments.

6. Procurement and Logistics

• Assist with ordering approved materials, fixtures, equipment, and supplies.
• Prepare and track purchase orders after approval by the Project Manager or Estimator.
• Track long-lead equipment and material deliveries and communicate changes in lead times.
• Verify order acknowledgments, shipment dates, and delivery timelines.
• Coordinate site access and delivery logistics with vendors, Project Managers, and field personnel.
• Maintain procurement and delivery records.

7. Project Support and Follow-Up

• Track outstanding project items and follow up with the responsible team members.
• Identify missing information, procurement concerns, scheduling conflicts, or other issues that may affect the project.
• Assist the Project Manager and Estimator with resolving administrative and coordination issues.
• Support the project team with other related tasks as needed.

Specialized Requirements & Qualifications

• Industry Experience: Two or more years of commercial construction coordination or similar administrative experience is preferred.
• Experience with plumbing, HVAC, mechanical, or other construction trades is preferred but not required.
