We are looking for a sharp, organized, and proactive Office Manager to keep our daily operations running like a finely tuned machine. The Role
As our Office Manager, you will be the central hub of our business. You will bridge the gap between our field crews, clients, and vendors. This isn’t a passive desk job—you will actively manage schedules, keep our financials in order, and ensure our projects cross the finish line without a hitch.
Key Responsibilities
- Operations & Logistics: Schedule city and county building inspections, coordinate project timelines with field supervisors, and manage the master company calendar.
- Financials & Bookkeeping: Manage accounts payable/receivable, track project expenses, and assist with basic bookkeeping
- Vendor & Subcontractor Management: Act as the primary point of contact for suppliers, negotiate/track material orders, and ensure subcontractor compliance (insurance, W-9s, etc.).
- Customer Service & Intake: Answer incoming calls, address client inquiries, and manage the initial intake for new roofing and construction leads.
- Permitting & Compliance: Prepare, submit, and track building permit applications with local municipalities.
- General Administration: Maintain organized digital and physical filing systems, order office supplies, and support the leadership team as needed.
What We Are Looking For
- Experience: 2+ years of office management experience, ideally within the construction, roofing, or trades industry.
- Tech Savvy: Proficiency with bookkeeping software (QuickBooks) and Microsoft Office. Experience with construction management software a huge bonus.
- The "Construction Mindset": You understand that weather shifts, supply chains lag, and adaptability is the name of the game. You are a natural problem solver who stays calm under pressure.
- Organization Champ: Exceptional attention to detail; you can spot a missing line item or a scheduling conflict from a mile away.
- Communication Skills: Strong verbal and written communication. You know how to talk to a city inspector, a stressed homeowner, and a roofing crew with equal professionalism and respect.
Pay: From $52,000.00 per year
