GENERAL OBJECTIVES:
This position requires heavy interaction with students, faculty, and staff - not only in this office but around campus and off campus guests. The ability to work well with others as a servant leader is essential in order for tasks and goals to be accomplished in such a way as to glorify our Lord.
- Assist the Dean and all faculty with any projects, correspondence, scheduling appointments, purchase orders, and clerical work as needed.
- Coordinate with department chairs for proposed schedule of classes.
- Monitor office mail for both full time and adjunct faculty.
- Order office supplies and books as needed.
- Coordinate with professors for proposed textbook requirements.
- Serve as office manager of Humanities and Social Sciences office by:
- Inventory and order all office supplies.
- Make sure all equipment is operating properly and arrange for service when it is not.
- Make sure all policies, procedures, and routines are followed as closely as possible.
- Supervise student workers. Interview, hire, and train all student workers.
- Schedule work hours for student workers.
- Assist the Dean with budget preparation.
- Assist the Dean during registration. This can include but is not limited to monitoring class sizes and closed classes, assisting students with procedural or advising questions, and providing adequate office coverage.
- Notify faculty of impending tasks and deadlines.
QUALIFICATIONS
- General management skills needed.
- Knowledgeable on office policies and campus procedures.
- Ability to multitask.
- Maintain professional appearance and demeanor.
- Microsoft office skills required, familiarity with COLLEAGUE, INFORMER, and COURSEDOG preferred.
- Possess skills in computer literacy, telephone operation, people skills, and prioritization.
SPECIFIC RESPONSIBILITIES:
- Coordinate and record office hours for full time faculty every fall and spring semester.
- Create and process Requisitions through to Purchase orders.
- Input proposed schedule of classes into Coursedog each semester. Submitting section change requests as needed.
- Prepare and finalize proofing of payroll advices for full time faculty, adjunct faculty, student workers, and PRST portfolio reviewers each term.
- Input each semester's required textbooks into Slingshot, coordinating with the college bookstore.
- Input new Fiscal Year budget into Self Service each year.
- Administer English CLEP tests.
- Academic Advisor for students as needed.
WORK SCHEDULE:
This is a full-time position with regular office hours between 8:00 a.m. – 5:00 p.m., Monday – Friday, with a one hour lunch, but occasionally flexible hours will be required in the evenings and Saturdays.
WORK LOCATION:
This position will work on the main campus, located at 3000 Mountain Creek Parkway, Dallas, TX 75211. In the main office of humanities LC 217.
