Job Summary
The University of Michigan Department of Pharmacology is seeking an experienced professional to support its postdoctoral, Master’s, undergraduate minor, summer undergraduate research, and training programs. This position will report to the Associate Chair for Education, and ultimately to the Department Chair, and will be part of the broader administrative team within the Department.
This position provides administrative support for recruitment, admission, and matriculation of students, curriculum management, administration of the Pharmacological Sciences Training Program (PSTP) T32, administrative support for the Departmental Graduate Program Committee and Education Leadership Committee, and processing of student related financial and benefit transactions. This position serves current and prospective graduate students, interacts with faculty, alumni, and other external stakeholders, and interfaces with the Program in Biomedical Sciences (PIBS). This position coordinates with the staff member handling Departmental communications and event planning.
The successful candidate will have relevant student support and administrative experience working in a role requiring teamwork, flexibility, confidentiality, and outstanding customer service. They will also have an excellent work ethic and share our goal of continuous quality improvement of graduate education and training.
Responsibilities
Promote student/trainee learning and career development for the Department of Pharmacology. Specific job duties are detailed below.
- Manage undergraduate, summer fellowship, masters, PhD, and postdoctoral education programs with faculty leads.
- Serve as primary point of contact for Pharmacology students and postdoctoral trainees. Advise and provide tools and resources to trainees regarding program design, curriculum requirements, registration deadlines, college and university policies, campus resources, career development, and overall wellness. Monitor trainee progress and provide individual feedback to students and trainees through milestones, graduation, and their completion of training.
- Facilitate recruitment, admissions, and enrollment processes, including working closely with Rackham Graduate School and the Program in Biomedical Sciences, and the Pharmacology faculty.
- Represent the Department of Pharmacology both on and off campus to prospective students, families, university advisors and faculty, and other individuals or organizations involved in the graduate program selection process, as well as alumni and other members of the university community.
- Manage strategic communications and counsel prospective applicants on the admissions process and opportunities in the Department of Pharmacology and the University. Provide one-on-one admissions counseling to diverse populations with in-person appointments, phone calls and emails.
- Work collaboratively on events including planning and staffing large Student Services events such as PhD recruitment events and participate in Rackham and other University sessions and seminars related to student services.
- Manage candidate visits and admission offers.
- Administer student admissions and matriculation process, including coordination with other University offices such as Rackham Graduate School, the Office of Financial Aid, and the Office of the Registrar.
- Analyze current marketing, admissions, training, and outcomes of departmental training programs, and work with faculty to develop strategies to improve success.
- Assist the Associate Chair for Education with curriculum management (e.g. course schedule, GSI assignments, teaching evaluations, Canvas, CARF.) Communicate program requirements, expectations, and changes.
- Responsible for opening course sections for registration, making room reservations, and corresponding with students and faculty.
- Oversee the mentorship programs for graduate students and postdoctoral trainees.
- Conduct admissions and recruitment administration for the Pharmacology Master's Program; consult with students regarding questions regarding the program, requirements, and opportunities. Provide support to the program director, track students' progress to degree and consult with students on completion of program, and plan meetings and professional development opportunities for MS students.
- Provide orientation and administrative support to current graduate students on university and departmental policies and procedures.
- Assist with departmental training grants including yearly progress reports, and renewal applications, updating and maintaining various student and alumni tables, and training grant renewals.
- Coordinate summer fellowship grant submission and programs. Seek and write for additional educational and student funding support (internal and external) as needed.
- Assist with Pharmacology alumni outreach. Assist with the coordination of Pharmacology alumni relations and events.
- Assist with planning and executing career development, seminars, meetings, retreats, receptions, recruitment events and other special events (annual retreats, annual symposium/poster sessions, graduate student thesis defenses, and student-faculty social events).
- Collaborate with relevant offices across campus, including the Office of Graduate and Postdoctoral Studies, Rackham Graduate School, Office of the Registrar, Student Financial Services, Payroll, CAPS, FASCCO, and OCWP.
- Reconcile PCard.
- Assist with collecting data and updating department directories, and various handbooks.
- Provide trainee-related material or property to the Communications Specialist for social media, web, and communication efforts pertaining to the education mission.
- Provide undergraduate minor support with Master's Program Director.
- Update Education portion of the department intranet.
- Maintain Pharmacology section of EdM.
- Order the monthly lunches for postdocs and trainees.
- Update yearly student representatives on committee appointments.
- Update donor award application on InfoReady, announce opportunity and solicit applications.

- Establish and maintain effective working relationships with various constituency groups.
- Promote the value of high-quality scientific research and evidence-based decision-making.
- Work with limited supervision to accomplish goals by setting priorities to meet deadlines independently.
- Work in a fast-paced environment, adapting to ever-changing priorities and at times under pressure.
- Exercise punctuality, great attention to detail, and excellent organizational skills.
- Participate in faculty and staff meetings.
- Act as back-up to others in the office for vacation/meetings/openings.
- Seek out and engage with the broader campus community opportunities for professional development.
- Serve as the staff lead for several Departmental committees, including the Graduate Program Committee, Education Leadership, Alumni Steering Committee, among others.

Required Qualifications
- Bachelor's degree and 3-5 years of related experience in academic program management, student services, or student advising.
- Previous experience leading recruitment, admissions, and marketing efforts in a graduate and/or postdoctoral program in the biomedical sciences.
- Successful track record of managing educational and training programs with multiple projects and stakeholders.
- Experience organizing and providing support for events.
- Demonstrated initiative, excellent judgment, diplomacy, and service-oriented attitude.
- Ability to balance multiple priorities.
- Demonstrated ability to work effectively and build relationships with individuals and faculty, and staff and student groups from a variety of identities, cultures, backgrounds, ideologies, populations, including personal and social orientations.
