Accounting & Project Administrator

T-Rock Construction, LLC is seeking a dependable, detail-oriented Accounting & Project Administrator to support our Accounting and Project Management teams. This position combines accounts payable support, subcontractor compliance, vendor administration, and project coordination.

The ideal candidate will have at least 3 years of experience in construction administration, accounting support, or a related field, with strong organizational skills and the ability to manage multiple priorities.

Position Details

• Reports to: Chief Financial Officer (CFO)
• Salary Range: $45,000–$65,000 annually, depending on experience (DOE)
• Work Arrangement: Full-time, in-office position. Remote work is not available.

Key Responsibilities

Accounting & Vendor Administration

• Review and match vendor invoices to purchase orders, verify accuracy, and resolve discrepancies.
• Assist with accounts payable processing, expense tracking, and basic reconciliations.
• Prepare vendor credit applications, establish vendor accounts, and maintain accurate vendor records.
• Coordinate with vendors and internal departments regarding invoices, purchase orders, and payment inquiries.

Subcontractor Compliance

• Collect and maintain subcontractor documentation, including W-9s, certificates of insurance, lien waivers, and agreements.
• Monitor insurance expiration dates and follow up on missing or outdated compliance documents.
• Assist with subcontractor onboarding and maintaining organized compliance records.

Project Administration & Financial Support

• Prepare, process, and track purchase orders, subcontract commitments, and change orders.
• Assist Project Managers with job cost tracking, budget reports, and project financial documentation.
• Maintain organized project files, contracts, and supporting records.
• Coordinate project meetings, document action items, and follow up on outstanding tasks.
• Provide general administrative support to Project Managers and the Accounting Department.

Required Qualifications

• Minimum of 3 years of experience in construction administration, accounting support, or a related field.
• Experience with invoice processing, purchase orders, and financial recordkeeping.
• Strong organizational skills, attention to detail, and ability to manage multiple deadlines.
• Proficiency in Microsoft Office, particularly Excel and Outlook.
• Strong communication and problem-solving skills.
• Ability to work independently and collaborate across departments.

Preferred Qualifications

• Experience with QuickBooks, Procore, or similar accounting and construction management software.
• Familiarity with subcontractor compliance, insurance certificates, and lien waivers.
• Experience with construction job costing, vendor accounts, and purchase order management.
