Job Summary:
The Design Project Coordinator supports the design development process by coordinating communication, managing schedules, and ensuring accuracy in documentation flow. This role connects Designers, CAD teams, Project Managers, and leadership, ensuring seamless progress from concept through shop drawings and client approvals.
Key Responsibilities:
Project Administration & Organization
- Maintain project schedules, documents, and timelines, ensuring accuracy and accessibility.
- Prepare meeting agendas, distribute relevant materials, capture meeting notes, and track action items.
Communication & Collaboration
- Act as a primary liaison between internal teams and leadership, communicating updates, changes, and critical information in a timely manner.
- Ensure cross-department alignment on project goals, deadlines, and deliverables.
Progress Monitoring & Reporting
- Track project status against established schedules and deliverables.
- Identify potential delays, risks, or resource concerns and escalate appropriately.
- Compile and maintain project documentation, status reports, and dashboards.
Resource & Workflow Coordination
- Assist with task assignments and follow up to ensure timely completion.
- Coordinate procurement of materials, samples, supplies, and other project needs to support workflow and execution.
Qualifications:
Education:
· Bachelor’s degree in a relevant field preferred, or equivalent work experience
· Minimum of 2 years of experience in project coordination or a related role
· Professional certifications such as PMP are a plus
Knowledge, Experience and Skills:
· Organization & Time Management – Ability to handle multiple projects, priorities, and tight deadlines.
· Communication – Strong verbal and written communication skills for effective interaction at all levels.
· Detail Orientation – Accurate documentation management and careful monitoring of project dependencies.
· Problem-Solving – Able to anticipate issues and contribute to timely solutions.
· Technical Proficiency – Comfortable working with project management tools and must be proficient on Microsoft suite, especially in excel.
· Adaptability – Capable of adjusting workflow based on shifting priorities or project changes.
Physical Requirements:
· Sedentary to light physical activity — primarily working at a desk or workstation
· Ability to sit for extended periods while working at a computer
· Manual dexterity required for keyboarding and use of office/computer equipment
· Occasionally stand, walk, and move around the office
· Occasional lifting, carrying, or moving items (samples, binders, documents) up to 20 lbs
· Visual acuity requirements include: Reading digital and printed documents, Reviewing design plans and drawings
