We are a busy stone countertop company seeking a highly organized, detail-oriented Project Coordinator / Scheduler to join our team. This is not a typical office administrative role. This position plays a critical role in coordinating projects from inception through templating, fabrication, installation and completion. The ideal candidate is someone who can keep many moving pieces organized, communicate clearly with customers and our production team, and catch details to ensure jobs are completed on time and within scope. Experience in construction, remodeling, countertops, cabinetry, kitchens, interior design, architecture or another detail-oriented construction environment is a strong plus. However, we are willing to train the right person who has the organizational skills, attention to detail and willingness to learn.
Job Responsibilities
Job Setup & Project Coordination
- Set up new countertop projects accurately and completely
- Enter and maintain detailed job information, including customer information, stone selections, slab information, sink specifications, edge profiles, backsplashes, change orders, Installation details, customer and project notes
- Review job information for completeness and accuracy before moving the project forward
- Maintain accurate project information throughout the entire process
- Communicate project details between customers, sales, templating, fabrication, and installation
Scheduling
- Schedule and coordinate field templates, shop templates, fabrication, installations, repairs and service calls
- Coordinate multiple crews and projects while balancing deadlines and production capacity
- Communicate schedule changes quickly and effectively
- Stay ahead of upcoming installations and make sure jobs are ready before they are scheduled
- Follow up on missing information, materials, sinks, appliances, approvals, or other items that could delay a project
Shop & Production Coordination
- Prepare detailed shop/fabrication tickets for the production team
- Prepare job boards and organize information needed by fabricators
- Review templates, drawings, and project information to make sure fabrication has what it needs
- Understand basic construction terminology and dimensions
- Learn the characteristics and fabrication requirements of different materials, including granite, quartz, quartzite, porcelain, and other countertop materials
- Help identify potential problems before a job reaches the shop or installation team
Customer Service & Stone Selection
- Communicate professionally with customers throughout the project
- Educate customers on the differences between materials, finishes, edges, sinks, and other options
- Have an eye for design and be comfortable helping customers to make material and stone selections that are both aesthetically appropriate and practical for fabrication and installation
- Coordinate with designers, contractors, builders, and homeowners as needed
Installation & Service Coordination
- Coordinate installation schedules and make sure jobs are properly prepared
- Track repairs, remakes, and service issues through completion
- Communicate with installers and customers regarding scheduling and job requirements
- Follow up on open issues rather than waiting for someone else to identify them
- Help ensure that problems are documented and resolved efficiently
