Assistant Property Manager, Estate & Concierge Operations

Immaculate Consultancy & Concierge is seeking a highly capable, discreet, and adaptable Assistant Property Manager to support the estate management and concierge operations side of the business.

This is a part-time role with meaningful growth potential. The right person will work closely with the founder and support private household operations, property inspections, client communication, vendor coordination, administrative systems, and concierge-level service execution.

This role is ideal for someone with experience in private homes, estate management, property management, luxury hospitality, concierge service, or high-trust client support. The position requires exceptional discretion, strong computer skills, sound judgment, and the ability to pivot quickly while maintaining a calm, professional presence.

About the Role

The Assistant Property Manager will help oversee the details that keep private homes operating smoothly. Responsibilities may include property walk-throughs, home condition checks, vendor follow-up, client updates, email management, scheduling support, documentation, operating system organization, and special project coordination.

This person will serve as an extension of the founder in the field and behind the scenes. The role requires someone who can think critically, communicate clearly, notice details, and follow through with precision.

Key Responsibilities

• Conduct property inspections and document home conditions with clear notes, photos, and follow-up recommendations.
• Assist with estate and household management tasks, including seasonal preparations, vendor coordination, supply tracking, service planning, and special projects.
• Communicate with clients when appropriate using a polished, discreet, and professional tone.
• Follow up with tradespeople, vendors, and subcontractors to request updates, clarify scope, confirm timing, and support project completion.
• Assist with email management, scheduling, documentation, file organization, checklists, and internal operating systems.
• Support the creation and organization of company processes, workflows, templates, and property management systems.
• Attend select networking events, vendor meetings, property visits, or client-related appointments as needed.
• Help identify maintenance needs, household concerns, service opportunities, and follow-up items during property visits.
• Maintain confidentiality and discretion at all times when working in or around private homes.
• Represent Immaculate Consultancy & Concierge with professionalism, calm judgment, and elevated service standards.

Required Qualifications

• Experience in home management, estate management, property management, concierge service, luxury hospitality, private household support, or a closely related field.
• Strong computer skills, including comfort with email, shared documents, digital checklists, scheduling tools, client notes, and basic operating systems.
• Excellent written and verbal communication skills.
• Ability to work independently, make sound decisions, and follow through without constant oversight.
• High attention to detail and the ability to notice issues within a home environment.
• Professional presence and polished client-facing communication.
• Strong organizational skills and the ability to manage multiple priorities.
• Comfort communicating with tradespeople, vendors, clients, and internal team members.
• Reliable transportation and ability to travel locally for property visits, errands, meetings, or inspections.
• A high level of discretion, confidentiality, and respect for private households.

Compensation

Compensation will be based on experience, skill level, and demonstrated ability. Growth opportunities will be discussed with qualified candidates.
