Ballard Spahr is seeking a collaborative and detail-oriented Recruiting Coordinator to support the firm's attorney recruiting and onboarding initiatives. This position plays an integral role in managing the day-to-day operations of recruiting Associates, Staff Attorneys, and Counsel through all phases of the hiring process. The Recruiting Coordinator may also support Summer Associate and entry-level Associate recruiting as needed. In addition, this role will support onboarding, orientation programming, and integration efforts to help ensure a seamless experience for new hires.
The Recruiting Coordinator will also provide support for key Talent Team initiatives, including leadership reports, process improvement projects, firm branding, and pipeline building efforts.
This hybrid position offers a work schedule of 3 days a week in the Philadelphia office, Tuesday through Thursday, with additional days required as needed.

Your Role:
As a Recruiting Coordinator within our Talent Team, you will:
Support the Manager of Legal Recruiting with candidate applications, recruiting data management, and updates in our applicant tracking system (Flo).
Track applications and communicate with candidates regarding their status.
Post and monitor job openings on law school and professional job boards.
Prepare recruiter fee agreements and coordinate execution.
Coordinate interview schedules, virtual meetings, conference rooms, and candidate travel arrangements.
Prepare and distribute interview materials, schedules, and candidate correspondence.
Serve as a liaison among candidates, interviewers, and offices throughout the interview process.
Manage pre-employment paperwork and onboarding activities for new attorney hires.
Coordinate orientation programs and support attorney integration efforts.
Partner with Marketing to facilitate attorney announcements, website biographies, and professional photography.
Maintain recruiting metrics, reports, and budget tracking.
Process recruiter invoices, candidate reimbursements, and related recruiting expenses.

Required Experience:
Bachelor’s degree and 1–2 years of relevant professional experience are required.
Experience supporting recruitment, talent management, onboarding, or human resources functions, preferably in a professional services or law firm environment, is a plus.
Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint); experience with Flo Recruit, NetDocuments, Adobe Acrobat, and similar business applications preferred, with the ability to quickly learn new technologies and systems.
