Our practice provides advanced oral and maxillofacial surgical care dedicated to clinical excellence, patient comfort, and seamless care coordination. Our front-desk team serves as the primary liaison between our patients, surgical staff, referring dental practices, and hospital care networks, ensuring every patient receives a high-touch, supportive experience from their initial consultation through recovery.
Role Overview
We are seeking an organized, articulate, and proactive Front Desk Patient Coordinator to join our team.
As a primary point of contact for our practice, you will handle inbound patient calls, present surgical treatment plans, and coordinate care with referring dental offices and hospital networks. This position offers a hybrid schedule, allowing you to work from home on designated days while maintaining required in-office hours as determined by management. This role will start as a hybrid remote position, with the long-term expectation of transitioning to full-time on-site at our office as business and operational needs evolve.
Key Responsibilities
- Phone System & Scheduling: Efficiently manage a high-volume, multi-line phone system with warmth and professionalism, address patient inquiries, and schedule consultations and surgical procedures with high attention to detail.
- Treatment Plans & Financial Coordination: Accurately estimate patient financial responsibility, present treatment plans and procedures, explain insurance coverage, and clearly discuss financial arrangements with patients prior to care.
- Referral Care Coordination: Reach out to referred patients promptly to guide them through our intake process, answer questions, and schedule their initial visits.
- Inter-Office Communication: Coordinate patient records, radiographs, and surgical documentation between our office, referring dental practices, and hospital systems.
- Patient Follow-Up: Conduct post-operative care checks and follow-ups to ensure patient comfort, safety, and overall satisfaction.
- Administrative Support: Assist with patient intake forms, insurance verification hand-offs, and other administrative tasks as assigned by the Office Manager.
Work Schedule & Remote Expectations
- Hybrid Structure: This position includes a balance of work-from-home and in-office shifts.
- In-Office Requirement: Management determines the in-office schedule based on surgical volume, team coverage, training, and operational priorities. Candidates must reside within commuting distance of our practice.
- Remote Setup Requirements: On work-from-home days, you must have a private, quiet, HIPAA-compliant workspace with reliable high-speed internet.
Qualifications & Skills
- Experience: 1-2+ years of administrative experience in a dental, oral surgery, or medical practice setting preferred (experience with specialty software like Carestream/WinOMS, Dentrix, or similar is a plus).
- Financial & Insurance Aptitude: Experience explaining insurance benefits, estimating co-pays/deductibles, and presenting treatment plans.
- Communication Skills: Clear, empathetic, and professional verbal and written communication skills, with comfort making outbound scheduling and follow-up calls.
- Patient-Centered Mindset: Ability to reassure anxious surgical patients and deliver a high level of customer care.
- Self-Motivated: Proven ability to manage time effectively, prioritize tasks, and work independently during remote shifts.
