As the leadership phase of the campaign begins, the Division of University Advancement is accelerating the hiring of additional advancement services professionals’ campus-wide and is excited to build out its team. Responsibilities
The Strategic Talent Management Coordinator serves as a vital culture ambassador and operational backbone for the Strategic Talent Management team.
This role ensures a seamless experience for Division of University Advancement (DUA) employees, donors, and guests by maintaining high-standard physical environments and providing critical administrative support to talent initiatives.
The Coordinator also plays a key leadership role in developing our future workforce by supervising the front-desk student employee team.
Student Leadership & Front Desk Management
- Supervise and mentor a team of front-desk student employees, including recruitment, onboarding, and performance management.
- Manage complex student scheduling to ensure consistent front desk coverage, timely Foundation Building opening and closing, coordinated break rotations, and reliable mail reception and delivery services.
- Provide training and guidance to front-desk student employees to deliver a “Gold Standard” welcome for DUA visitors, while ensuring strict adherence to visitor and vendor sign-in procedures, building security protocols, and established processes for receiving and distributing checks and cash deposits.
- Serve as backup receptionist, offering coverage during absences, peak periods, or as operational needs arise.
Strategic Talent Support
- Provide high-level administrative support to the Advancement Strategic Talent Management (STM) team.
- Plan and coordinate the preparation of materials for candidate interviews, new employee presentations, conferences, and training sessions.
- Supports the recruitment process by helping conduct initial screenings, references, and logistics involved with candidate travel and interviews as necessary.
- Order and maintain supply inventory, coordinate AV needs, manage RSVPs, anticipating needs and organizing in advance.
- Maintain data integrity within the Applicant Tracking System (ATS), Learning Management System (LMS), and Human Resource Information System (HRIS).
- Coordinate STM team administrative workflows related to the employee lifecycle, from recruitment through offboarding.
- Monitor expenses, assist with monthly budget reconciliation.
- Prepare departmental disbursement requests and assist with purchasing card statement settlements.
- Protect confidential information.
FSU Foundation Building Employee and Guest Experience
- Ensure all public-facing and common spaces (conference rooms, breakrooms, and copy/supply rooms) are inviting, well stocked, and professional.
- Manage inventory control for both office and breakroom supplies, monitoring usage, and cost.
- Coordinate, submit, and distribute office supply and employee breakroom supply orders.
- Maintain vendor relationships, oversee payments, and perform monthly budget reconciliation.
- Provide access and guidance to FSU Facilities and outside vendors and contractors at the request of the Foundation Building Manager.
Employee Engagement & Facilities Stewardship
- Act as a liaison for building needs ensuring the FSU Foundation and Alumni Association physical environments are welcoming, well maintained, and aligned with the University’s standards.
- Prepare workspaces for new employees and coordinate employee engagement setups to promote a positive and consistent experience for all DUA staff.
- Provide logistical assistance for DUA engagement events and internal recognition programs.
- Drive to locations on and off campus to attend and coordinate meetings, staff events, complete tasks related to pickups, deliveries, and support activities.
- Perform other related duties as required and assigned.
Qualifications
Bachelor’s degree and two years of experience; or high school diploma/equivalent and experience equal to six years. (Note: post-high school education can substitute for experience at the equivalent rate.)
A valid Florida or Georgia Driver's License or the ability to obtain upon hire.
