Job Description
Alabama State University, Operations and Event Management invites applications to fill the Event Coordinator position. Under general supervision, the Event Coordinator assists the Executive Director for Operations and Event Management and the Event Manager in all aspects of planning, coordinating, scheduling, and executing special events held within Alabama State University facilities. This role supports the delivery of high-quality events by ensuring compliance with contractual obligations, operational standards, and customer service expectations. This role also coordinates event logistics, manage scheduling, and oversee execution. The position reports directly to the Executive Director.
Duties and Responsibilities:
- Assist in coordinating, facilitating, and scheduling events within university facilities
- Maintain and manage the facilities reservation and event calendar
- Ensure all events meet contractual agreements and established service standards
- Serve as a liaison between clients, facility staff, vendors, and university departments
- Direct, coordinate, and supervise event personnel, subcontractors, and vendors
- Provide clients with guidance to develop accurate event specifications and logistics plans
- Coordinate client service needs including catering, audiovisual services, security, and other support services
- Develop and maintain detailed event checklists to ensure timely completion of all event requirements
- Finalize event details including room setups, equipment needs, and staffing requirements
- Advise clients on event setup options and materials to achieve desired outcomes
- Input, update, and communicate event setup information to appropriate personnel
- Prepare and distribute event orders to relevant departments
- Provide administrative and operational support for university-hosted events
- Assist in the management and on-site supervision of events
- Conduct pre-event and post-event meetings with clients and internal stakeholders
- Monitor event execution to ensure client satisfaction and successful outcomes
- Support marketing and sales efforts by meeting with prospective clients, conducting facility tours, and promoting university venues
- Represent the university at external events as needed
- Build and maintain relationships with service providers, contractors, and vendors
- Develop and implement plans to manage traffic flow, crowd control, and overall event safety
- Coordinate with law enforcement and emergency medical services when necessary
- Enforce facility policies in accordance with the Facility Use Agreement and university regulations
- Participate in life safety and emergency preparedness programs
- Assist in developing, implementing, and maintaining operational procedures
- Perform other duties as assigned
Minimum Qualifications
Bachelor’s degree in Facility Management, Hospitality, Marketing, Business Administration, Public Relations, or a related field, 1 year of experience in event management, marketing, or sales and have a valid driver’s license with an insurable driving record. Equivalent combinations of education and experience will be considered.
