The Opportunity:
Embry-Riddle Aeronautical University (ERAU) Prescott campus is experiencing continued growth and is seeking a dedicated and detail-oriented Administrative Assistant to join its Counseling Center team. This position plays a vital role in supporting the university’s commitment to student well-being by serving as the first point of contact for students seeking services. The ideal candidate will thrive in a fast-paced, student-focused environment, demonstrate professionalism and discretion, and contribute to creating a welcoming, supportive atmosphere for all who visit the Counseling Center.
Key Responsibilities:
- Serve as the front desk receptionist, creating a professional and welcoming environment for all visitors and callers
- Answer, screen, and direct phone calls; greet and assist visitors and students
- Support students and counselors by scheduling appointments using Titanium, creating contact notes, sending intake emails, and issuing appointment reminders
- Respond to students in distress with calmness and professionalism, assessing urgency and connecting them with appropriate support
- Maintain strict confidentiality of all student-client information
- Maintain knowledge of department policies, procedures, and campus resources to provide accurate information and referrals
- Manage the client satisfaction survey system, including sending follow-up emails with survey links
- Process incoming and outgoing mail and distribute correspondence to appropriate personnel
- Provide administrative support to four professional staff members, including scheduling meetings and assisting with events and materials
- Assist with outreach efforts and tabling activities, such as the Interfaith Chapel Fair and resource fairs
- Monitor, track, and order department supplies (e.g., office materials, refreshments, and lobby items) while staying within budget
- Reconcile operating budget charges and credit card statements; prepare purchase requisitions, travel expense reports, and monthly financial reports using Workday
- Create and maintain client records in scheduling software
- Participate in ongoing training to strengthen skills in supporting distressed students
