This is a hybrid role in Chandler, AZ with a required minimum of 3 days a week in the office.
As an Executive Assistant I at Insight you’ll provide administrative support to the Manager of Executive Services and the Manager of Executive Support. If you are comfortable being exposed to confidential and sensitive information and have a high sense of urgency, read on.
Responsibilities:
- Perform office and administrative support, including calendar management, to Executive Management and Leadership team.
- Prepare and deliver files in confidence to appropriate Executive while maintaining confidentiality and discretion with sensitive information.
- Greet scheduled visitors and direct to appropriate area or person.
- Manage conference room reservations.
- Maintain clear and concise record of expense reports, submitted monthly.
- Assist with HQ activity committee that orchestrates several annual teammate events both in-office and off-site.
- Assist with HQ Coffee Club events.
- Oversee executive office supply quantities, purchasing, and back office operations as necessary.
- Receive, review and direct incoming and outgoing mail.
- Coordinate lunch for executive meetings.
- Create travel itineraries for executive travel as needed.
- Perform general office duties and miscellaneous tasks as assigned.
BASIC QUALIFICATIONS:
- College degree preferred; or 2+ years of related experience and/or equivalent combination of education and experience.
- Extreme attention to detail and experience in a large, fast-paced and dynamic environment.
- Flexibility and willingness to adapt to multiple changing priorities and other duties as they arise.
- Excellent organizational and multi-tasking skills along with strong Microsoft Office skills with a focus on Outlook, Word and Excel.
- Maintain a high degree of confidentiality.
