Employee Service Coordinator - Brief description
The Employee Service Coordinator is responsible for overseeing day-to-day onsite facility operations and managing logistics to ensure a seamless experience for our employees. This role plays a key part in coordinating schedules for classes, training, wellness programs, and events. Additionally, the Coordinator will handle administrative tasks such as invoice processing, while providing critical operational backup and project support to the wider team.
Responsibilities:
- Facilities Operations
- Access Control: Manage facility access control and ensure strict security compliance for assigned facilities.
- Event Support: Assist with and support employee engagement events hosted at or related to assigned facilities.

Vendor Management: Serve as the primary point of contact for maintenance vendors to ensure all equipment and facilities are kept in peak condition.

Vendor & Logistics Coordination

Onsite Logistics: Manage end-to-end logistics for onsite vendor services, deliveries, and operational setups.

Employee Recognition & Perk Programs
- Service Awards: Administer the milestone service award program, manage recipient data, and oversee vendor performance to ensure high-quality and timely delivery of awards.

Employee Perks: Proactively identify and partner with external vendors to secure exclusive corporate discounts; maintain and regularly update the internal employee perks directory.

Operational Support & Backup
- Mailroom Backup: Act as the primary backup for the Mailroom Clerk, managing incoming/outgoing mail and package logistics during their absence.
- Event Coordination: Plan, promote, and host activities and events to encourage employee wellness; coordinate schedules for training rooms, classes, and wellness spaces.
- Project & Admin Support: Provide administrative and project support for departmental and operational initiatives.
Minimum Qualifications/Requirements:

Education:
High School Diploma required; Associate’s or Bachelor’s degree preferred.

Technical Skills:
Proficiency in Microsoft Office Suite (advanced skills in Excel and PowerPoint).
Experience with invoice processing and financial tracking systems. -
Interpersonal Skills:
Communication: Excellent verbal and written communication skills for vendor and employee relations.
Computer Proficiency: Comfortable learning new internal software and administrative tools.
Organization: Strong ability to multitask, manage schedules, and coordinate events.
Teamwork & Listening: Active listener who works collaboratively with various departments. -
Physical Requirements:
Ability to lift and carry up to 25 lbs (at least) to assist with event setups, promotional materials, and facility arrangements.
