ROLE AND RESPONSIBILITIES
Assist and support the sales/service staff, outside brokers, prospects, and employer groups. Process and maintain new group quotes, direct leads, new group sales, and group renewal documentation. Collect missing information on new/renewing group documentation, new group quotes, and agency/producer appointments to ensure complete and accurate information is provided to internal teams. Complete monthly and ad hoc reporting, and sales materials as requested.
Essential Responsibilities:
- Manage sales queues and process inbound emails/phone calls within departmental turnaround times. Provide internal administrative support to the sales/service staff when they’re off-site, delegating and completing time sensitive tasks.
- Assist with researching and resolving broker questions related to new/existing groups, request for proposals (RFPs), etc.
- Review RFPs from broker to ensure all information and documentation that is required for Underwriting to produce quote is accurate and complete. Work with the sales team and/or agent to collect missing information as needed. Support the delivery of small and large group proposals to broker as requested.
- Review new/renewing group documents including enrollment, group applications, and group identification forms to ensure information and documentation that is required for operations is accurate and complete. Work with agents to collect missing information as needed.
- Review Agency/Producer appointment documents to ensure all information for appointment process is accurate and complete. Work with agents to collect missing information as needed.
- Enter and maintain pertinent prospective and existing group information into required systems (i.e., New Group List, PSE, Facets, HIVE, and OnBase).
- Attend SSC meetings, GPS huddles, bi-weekly new/renewing large group meetings, and other internal meetings as required. Take notes for internal implementation meetings.
- Attend broker trainings and provide support managing invitations and registration process.
- Prepare group supplies for clients, assemble new/renewal group packets, enrollment materials, and other supplies as requested.
- Meet department expectations and metrics.
- Maintain positive working relationships with brokers, group administrators, and coworkers.
Supporting Responsibilities:
- Back up SSC team with workloads and support regional office as needed.
- Meet department and company performance and attendance expectations.
- Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
- Perform other duties as assigned.
BASIC QUALIFICATIONS
Work Experience: Two years of administrative experience required. Experience in group health insurance or healthcare-related business preferred.
Education, Certificates, Licenses: High school diploma or equivalent required.
Knowledge: General office skills including typing, filing, copying, faxing, 10-key. Computer skills in Microsoft Windows based software. Excellent written and verbal communication. Ability to gain knowledge of state and federal laws affecting group health insurance plans. Ability to gain and maintain knowledge of PacificSource products, plan options, contracts, and workflows. Remain current on PacificSource procedures, policies, and products.
