Executive Admin and Office Manager (Onsite Wilton, CT)
The Opportunity
You will provide executive administrative support and office management for a globally dispersed corporate development team, ensuring seamless coordination across daily operations and strategic activities. The role focuses on supporting senior leadership through complex scheduling, travel coordination, and preparation of key meeting materials while also managing office logistics, team coordination, and administrative processes. You will help maintain alignment across international workstreams, track deadlines and follow-ups, and enable efficient communication among stakeholders. By organizing workflows, supporting financial tracking tasks, and maintaining a well-functioning office environment, you help address operational challenges that arise in a fast-paced, global setting. Your work supports consistent execution and contributes to the reliability of processes that underpin corporate development activities tied to energy infrastructure and innovation.
How You’ll Make an Impact
- Provide high-level administrative support to the Global Executive, including calendar management and meeting coordination across multiple time zones
- Coordinate domestic and international travel, including itineraries, accommodations, visas, and expense reconciliation
- Prepare and organize presentations, agendas, meeting materials, and follow-up notes for leadership, board, and external engagements
- Act as a central coordination point for the global team by tracking deadlines, follow-ups, and administrative needs across workstreams
- Organize team meetings, offsites, and special events, including logistics, communications, and technology setup
- Manage office operations such as supplies, vendor coordination, facilities support, and workspace readiness
- Support expense reporting, purchase orders, invoices, and basic budget tracking for team-related spending
- Partner with internal stakeholders across Finance, Legal, HR, Communications, and executive support functions
- Responsible to ensure compliance with applicable external and internal regulations, procedures, and guidelines.
Your Background
- Candidate must already have work authorization that would permit them to work for Hitachi Energy in the United States.
- 5+ years of experience in executive administration, office management, or a similar business support role.
- Experience supporting senior leaders or high-performing teams in a fast-paced corporate environment.
- Strong organizational skills with the ability to manage multiple priorities and deadlines with minimal supervision.
- Excellent written and verbal communication skills, with a polished and professional approach.
- Demonstrated discretion in handling sensitive and confidential information.
- Proficiency in Microsoft Office applications, especially Outlook, PowerPoint, Excel, and Word.
- Strong problem-solving skills, resourcefulness, and a service-oriented mindset.
- Experience coordinating across global teams and multiple time zones is strongly preferred.
- Prior experience in corporate development, strategy, investment banking, consulting, private equity, or other high-performance business environments is a plus.
- MUST BE ABLE TO WORK ONSITE AT OUR WILTON, CT LOCATION. MUST LIVE COMMUTABLE DISTANCE TO WORK FACILITY.
