Position Overview
Polypack is seeking a customer-focused, mechanically inclined, and detail-oriented Bilingual Industrial Parts Sales Associate to support our customers and service operations from our headquarters in Pinellas Park, Florida.
In this role, you will assist English- and Spanish-speaking customers with identifying and ordering original equipment manufacturer (OEM) replacement parts for industrial packaging machinery. You will manage the parts sales process from the initial inquiry through quoting, order entry, invoicing, and shipment tracking while ensuring customers receive accurate information and responsive service.
The ideal candidate has strong Spanish and English communication skills, mechanical aptitude, and experience in parts sales, order processing, or industrial customer service. The ability to interpret technical drawings and equipment manuals, identify the correct components, and maintain accurate order records is essential to success in this position.
Key Responsibilities
Customer Service & Parts Sales
- Assist English- and Spanish-speaking customers by phone and email with replacement parts inquiries, product identification, availability, and ordering.
- Identify the correct OEM replacement parts using equipment manuals, technical drawings, parts lists, ERP records, and other available documentation.
- Explain part features, applications, and compatibility to help customers select the appropriate components.
- Prepare and provide accurate sales quotes, pricing information, and delivery estimates.
- Respond promptly and professionally to customer questions, resolve parts-related issues, and follow up to ensure customer satisfaction.
- Build positive customer relationships through responsive communication, product knowledge, and reliable follow-through.
Order Processing & Inventory Coordination
- Enter and process customer orders, quotes, and invoices accurately using the company's ERP system.
- Research part numbers, stock availability, pricing, and order status.
- Coordinate with Purchasing, Inventory, Shipping, and other internal departments to confirm availability and support timely order fulfillment.
- Prepare parts for shipment and coordinate shipping arrangements and tracking information.
- Process defective parts exchanges and coordinate the resolution of replacement part issues.
- Monitor open orders and proactively communicate delays, backorders, and other changes to customers.
Documentation & Administrative Support
- Maintain accurate records of customer inquiries, quotations, sales orders, invoices, shipments, and follow-up activities.
- Ensure customer and order information is complete, accurate, and properly documented.
- Assist with maintaining organized parts information and identifying discrepancies in part numbers, descriptions, or inventory records.
- Follow established procedures for pricing, order processing, invoicing, and customer communications.
- Support continuous improvement in parts identification, order accuracy, response times, and overall customer service.
Required Qualifications
- Professional proficiency in both Spanish and English, including verbal and written communication.
- Mechanical aptitude and the ability to learn industrial machinery, components, and replacement parts.
- Strong customer service and communication skills, with a professional and solution-oriented approach.
- Ability to interpret technical drawings, equipment manuals, parts lists, procedures, and written instructions.
- Strong attention to detail and accuracy when handling part numbers, pricing, quotations, and customer orders.
