Work Schedule: Typical shift coverage 7a-3p, Monday-Friday. This is a casual/PRN position. Casual/PRN employees work on an ‘as needed’ basis to meet the needs of the business. Work days/hours will often vary from week to week.
Prepares exam rooms and equipment to facilitate treatment and exam of patients. Schedules patient appointments, and all surgical, and diagnostic procedures. Provides patient instruction regarding all procedures. Ensures efficient, and patient friendly workflow to help provide quality care.
Responsibilities:
Essential Functions

Prepares exam rooms and equipment to facilitate treatment and examination of patients by setting up instruments/equipment, stocking supplies and exam rooms.

Performance Measures: Prepares exam rooms and medical equipment according to physician protocol 95% of the time.
- Prepares exam room and equipment per protocol at the beginning, in-between patients and at the end of clinic day. Rooms are turned around in a timely manner.
- Independently manages all ordering, stocking and supplying of medical supplies for the clinic. Corresponds with linen, Customer Service Representative (CSR), sterile processing and other departments as needed to ensure the clinic is stocked appropriately.
- Independently manages all equipment sterilization needs for department by working with sterile processing and ensures all equipment is returned to the appropriate area in an acceptable time.

Maintains work areas to ensure healthy environment conditions by stocking, cleaning, organizing equipment and rooms.

Prepares patient for provider exam by updating medical records, checking vital signs as per provider and obtaining medical information relevant to patient needs and documenting all tests/procedures in Cerner.

Performance Measure: Prepares patients for exam by following physician protocol and company policies 95% of the time.
- Brings patients back and prepares patient for exam following physician protocol.
- Obtains accurate information regarding history, vitals, etc from chart and patient and passes this information to the physician/provider appropriately. Stay in room during exam to document information as directed/requested by the provider.

Obtains practitioner requested tests, records and lab work.

Cover the front desk requirements of the clinic as needed.

When directed, serves as a back up to the front desk to answer phones, assist with intake, schedule and manage medical records.

Performs telephone triage to determine patient needs by recording and reporting patient condition to provider and advising patient based on provider instructions.

Performance Measures: Receives and returns patient phone calls in a timely manner based on medical priority 95% of the time.

Accurately records and reports patient's condition. Reports findings/follow up questions to provider as directed.

Handles prescription renewal/inquiries to facilitate patient care by discussing pharmacy questions with providers and relaying information to pharmacy.

Performance Measures: Handles prescription refills according to department/physician Direction.

Handles prescription renewals/inquiries in a timely manner and with accuracy.

At the direction of the physician, provides patient and family education material to ensure adequate knowledge/awareness and recommends appropriate community resources.

Performance Measures: Educates/instructs patients according to provider direction 95% of the time.
- Provides patient with education material including books, brochures, websites and other illness/health related material.

Explains/reviews education material to patient and family as directed by provider.

Schedules patients for surgery/diagnostic testing to facilitate patient care by receiving surgery information from providers regarding procedures and specific orders, coordinating patient, patients insurance and hospital schedules and schedule accordingly.

Performance Measures: Schedules patients for surgery accurately 95% of the time.
- Schedules patients for surgery according to physician preferences.

Corresponds with appropriate departments to coordinate specific procedures as instructed by provider.

Maintains doctor's surgery/office schedules to ensure adequate coverage for procedures by calculating necessary surgery room time and turnaround time between cases and other scheduled appointments and clinics.

Performance Measures: Maintains surgery schedules adequately 98% of the time.

Handles surgery/diagnostic testing process to ensure accuracy by providing all information to hospital and offices for patient pre-certification and registry and notifying patient of surgery/diagnostic time and location and preparatory information.

Performance Measures: Follows process for patient registration 98% of the time.
- Notifies patient of all surgery details including when and where to report for procedures.
- Schedules patient for all preoperative testing and physicals with primary care physicians/specialist to ensure patient safety.
- Ensures all preoperative information relayed by specialist/primary care physician is completed and within normal limits for surgery and reports any abnormal testing to the surgeon before scheduled surgery.
- Confirms and documents all surgery instructions with patient.

Makes sure all consulting and referring physicians are notified of procedures.

Assists providers by assisting with patient treatment such as office biopsies and aspirations, handling of samples, requisitions and documenting according to standard procedures and performing and documenting quality control activities.

Assist physician in office biopsies and aspirations including setting up and using sterile equipment and properly documenting specimen and specimen containers. Cleaning and disinfecting procedure room according to standard procedures.
- Use time out procedure as required by hospital.

Ensuring specimens are delivered to pathology department in a timely manner for processing.

Maintains information and clinical database.

Enters and maintains a patient database that tracks individual patients and their personal history staging information that is utilized by physician during daily patient care.
- Enters and maintains database for noninvasive breast cancer patients including compliance with National Comprehensive Cancer Network (NCCN) guidelines.
- Enters and maintains database for invasive breast cancer patients including compliance with NCCN guidelines.
- Member of Breast Leadership Program. Attends meetings and assists in maintaining National Accreditation Program for Breast Centers (NAPBC) accreditation.
- Survivorship database - compiles, enters and maintains survivorship database including compliance with NCCN and NAPBC guidelines. Distributes and reviews with patients.

Job Requirements
Education

High school diploma or General Educational Development (GED) required.

Two (2) years college preferred.

Completion of the 75 or 120 hour Nurse Aide/Nurse Assistant program and active on the Nebraska DHHS Nurse Aide Registry or Iowa Direct Care Worker Registry, or completion of two (2) semesters of clinical practice in an accredited nursing program, or Medical Assistant diploma from an accredited program required.

Participates in mandatory in-services and continuing education programs as mandated by policies and procedures/external agencies and as directed by supervisor.
Experience
- Previous Medical Assistant/surgery scheduling experience preferred.
License/Certifications
- Current American Heart Association Basic Life Support (BLS) strongly preferred at time of hire, required within 3 months of hire.
