Position Title Operations Coordinator

Job Summary
Xavier University of Louisiana is seeking applications for the position of Operations Coordinator in the Office of Student Affairs Operations. The Operations Coordinator is responsible for supporting the university’s credentialing and access systems, dining billing reconciliation, and external events coordination. This position requires demonstrated experience with Transact and Entrust and the ability to provide exceptional service to students, faculty, staff, and external clients. AA/EOE
Minimum Qualifications
- Bachelor’s degree from an accredited institution.
- Minimum of two (2) years of experience working with Transact and Entrust systems.
- Strong analytical and problem-solving skills with the ability to troubleshoot technical issues.
- Excellent communication and interpersonal skills with the ability to work effectively with diverse stakeholders.
- Proven organizational skills and ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
- Experience in event coordination, contract administration, or client relations.
- Demonstrated ability to increase external event sales and build positive client relationships.
- Familiarity with higher education operations or student affairs administration.

Full time. This position requires a flexible schedule to accommodate operational needs and events that may occur during evenings and weekends. The Operations Coordinator must be able to adjust hours as necessary to provide on-site support for university and external events.

- Demonstrated ability to increase external event sales and build positive client relationships.
Essential Duties and Responsibilities
- Troubleshoot and resolve end-user issues related to mobile credentials and access control.
- Assist with freezing and restoring door lock access in support of campus safety and operations.
- Prepare and analyze weekly reports to reconcile dining billing activity, ensuring accuracy and timely resolution of discrepancies.
- Assist with the coordination of external events, including conducting client site visits, managing venue rental sales, and serving as the on-site point of contact.
- Draft, review, and process event contracts.
- Perform other related duties as assigned to support the mission and goals of the division and university.
