The Events and Programs Coordinator will establish and maintain project communications with clients, internal team members, vendors and all related departments within the organization to ensure the highest level of success. Up-front strategic thinking, pre-event planning. Essential requirements include outstanding communication skills and organization, a strong work ethic, and the ability to self-start.
Responsibilities
- Plan and manage virtual, hybrid and live events from concept to completion.
- End-to-end project management of all aspects of event planning, including but not limited to location or experience recommendations, concept development, vendor contract negotiation, speaker management, food and beverage, swag, budget management, logistics, scheduling, onsite volunteer coordination, AV/technical coordination, events evaluation and analysis.
- Collaborate with cross-functional business partners to develop comprehensive client engagement strategies.
- Collaborate with internal teams to coordinate onsite events, including but not limited to: Security, Office Services, Mail Services, Building Management, Facilities.
- Effectively communicate event budgets and logistics to planners companywide for employee events.
- Manage relationships and negotiate contracts with outside vendors, including convention centers, hotel facilities, exhibit houses, caterers, equipment suppliers, etc., to ensure the best value for Burns & McDonnell.
- Track and document event budgets, expenses, invoices and payments to ensure accurate spending.
- Manage PO and Purchase Requisition process for payment of vendors and other contracts.
- Identify opportunities to drive improvements and implement best practices.
- Develop, document, and follow standards and processes for Burns & McDonnell events to achieve consistent quality and brand positioning.
- Support employee giveaway/gifting campaigns.
- Work with speakers and the AV team to rehearse and test equipment, ensure optimal backgrounds and lighting.
- Attend events and provide onsite direction, execution of logistics and problem resolution.
- Work in conjunction with the creative team on the development of event-related materials, including invitations, signage, décor, branded event merchandise and other related collateral.
- Elicit event feedback and identify opportunities for process improvements, provide analysis, propose change strategies, and communicate proposed strategies.
- Recruit and manage volunteer staff as needed.
- Communicate professionally with executives and team members.
- Propose and present new event ideas.
- Performs other duties as assigned.
- Complies with all policies and standards.
Qualifications
- Bachelor's degree required.
- 3 years relevant event planning experience preferred.
- Must be able to manage budgets, track financials and negotiate contracts.
- Excellent computer and technology skills.
- Self-starter with proven project management skills.
- Strong presentation and communication skills.
