INTRODUCTION
Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking an Administrative Project Coordinator to join its Charlotte Office. The Administrative Project Coordinator performs a variety of administrative and project management duties in support of attorneys and professionals on our Commercial Real Estate/Land Use Team.
This role plays a central part in supporting a fast-paced Land Use practice by ensuring seamless coordination across attorneys, business professionals, and clients. The ideal candidate thrives in a team-oriented setting, demonstrates a solutions-focused mindset, and consistently delivers high-quality support with professionalism and discretion.
ROLE AND RESPONSIBILITIES:
- Coordinate and track milestones, deadlines, and deliverables across a large portfolio of active matters (often 80+ concurrent projects).
- Administer all aspects of rezoning case management, land use and other development related research and due diligence (research, file management, and reporting).
- Monitor timelines and follow up to ensure key dates and expectations are met.
- Provide proactive support to Land Use team, anticipating needs and ensuring continuity during high-volume periods.
- Coordinate communications between attorneys, clients, and team members.
- Manage incoming communications by prioritizing and organizing items appropriately.
- Assist with document preparation, proofreading, and organization.
- Assist with coordination of meetings and preparation of materials.
- Other duties and responsibilities as assigned.
- Regular in-person attendance is required to perform essential functions of this interactive position.
BASIC QUALIFICATIONS:
- Bachelor’s degree or relevant experience required
- 5+ years' experience in an executive assistant or project coordinator role, Land Use/Zoning experience, and/or paralegal certification preferred
- Proficiency in Microsoft Office suite - Word, Excel, Outlook, and Power Point
- Ability to manage competing priorities and deadlines
- Strong interpersonal skills and professional judgment
- Attention to detail and accuracy
Physical Requirements:
- The work is primarily sedentary.
- It requires the ability to communicate effectively using speech, vision, and hearing.
- The work requires the use of hands for simple grasping and fine manipulations.
- The work at times requires bending, squatting, and reaching, with the ability to lift, carry, push, or pull light weights.
