Job Description:
The Administrative Assistant will work closely with the Chief Medical Officer (CMO) and the Ambulatory Care Officer (ACO) in coordinating and carrying out the functions of the departments. This individual will work closely with the CMO, ACO, chief of medical staff, the physician staff, residents, medical students, physician assistants and nurse practitioners in the facility. In addition, this individual will work closely with other administrative departments of WRHS in various projects.
Responsibilities:
- Assist the human resources department with preparation of payroll, coordination of benefits and other duties as they pertain to the employees of the Medical Staff Department
- Assist with and coordinate the physician education schedule and topics
- Maintain and disseminate the physician and resident call schedules and vacation schedules
- Assist with preparation of a budget for the Medical Staff Department
- Assist in the orientation of new physicians, allied health professionals, residents and medical students. This includes arranging for required training in the use of information technology within the medical system and setting an itinerary for orientation to various hospital departments
- Assist with the recruitment of physicians, physician assistants, and nurse practitioners
- Assist the Ambulatory Care Officer (ACO) and CMO in coordinating provider staffing of the Hettinger Clinic and Rural Health Clinics
- Tracking and report mileage for provider traveling to outlying clinics
- Assist the CMO and Chief Medical Staff in tracking and enforcing compliance with medical staff policies, especially as they apply to timely records completion
- Assist with preparation and dissemination of contracts and other documents related to benefits
- Attend monthly Medical Staff Department meeting and take minutes
- Perform the duties of the Rural Training Track (RTT) site coordinator:
- Keep recorded minutes of faculty meetings, Graduate Medical Education (GME) Committee meetings, RTT committee meetings and other meetings as required by the Accreditation Council on GME (ACGME)
- Attend monthly UND GME meetings via teleconference and off-site conferences as required
- Coordinate the exchange of resident progress information, duty hours, and other required documentation with the UND residency program in Bismarck
- Prepare and distribute pre-rotation letters and post-rotation evaluations to community faculty with whom the residents have rotations
- Assist with residency recruiting by scheduling interviews, setting the itinerary for interview days, assembling application materials for interviewers to review, meeting with all candidates to review contract information and assisting candidates with travel arrangements
- Assist with preparation for accreditation site visits
- Assist residents with compiling information needed to prepare for rotations and boards examinations. Assist the site director in tracking resident progress toward graduation requirements
Education and Knowledge:
- BS or BA preferred. Preferably a business-related degree
- Strong interpersonal and communication skills
- Strong computer skills
- Excellent written and oral communication skills
- Prefer some experience working in a medical setting
Skills:
- Proficiency in use of computer software, spreadsheets and word processing
- Ability to plan and organize
Normal Working Hours:
8am - 5pm
Starting Salary Range:
$17.90 - $22.08
