As an Executive Assistant, you will play a key role in supporting executive leadership by ensuring the smooth coordination of daily administrative operations and special projects. This position is responsible for managing schedules, facilitating communication, and organizing events, all while maintaining a high level of professionalism, discretion, and attention to detail.
EXECUTIVE ASSISTANT RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
- Coordinate daily administrative operations for executive offices
- Maintain office supply inventory and ensure timely replenishment
- Manage incoming and outgoing correspondence, including mail and packages
- Oversee office equipment functionality and arrange for repairs or servicing as needed
- Schedule meetings, appointments, and calendar activities for executives
- Prepare meeting materials, agendas, and supporting documentation
- Track, reconcile, and process office and executive-related expenses
- Collaborate with accounting or finance teams on expense inquiries and reporting
- Prepare and submit expense reports and purchase orders
- Serve as the primary point of contact for incoming calls, emails, and inquiries
- Draft, edit, and format reports, presentations, and business communications
- Plan and coordinate team member events, celebrations, and corporate functions
- Organize logistics for meetings, conferences, and special events, including venue, catering, and equipment
- Manage guest lists, invitations, and RSVP tracking
- Monitor event budgets and assist with post-event reporting and evaluations
- Arrange and coordinate business travel for executives
- Assist with prioritization of tasks and effective calendar management
- Provide additional administrative support during high-demand periods or team absences
- Other duties as assigned
