JOB SUMMARY:
This position serves as a key operational partner within the department, coordinating academic scheduling, registration management, graduate program support, and special projects. In collaboration with the Department Chair, faculty, and college leadership, the role ensures course offerings, space utilization, and enrollment align with programmatic and institutional priorities while maintaining compliance with university policies. The position supports students, faculty, and advisers through registration processes, monitors enrollment trends, and resolves scheduling issues. It also provides administrative support for graduate programs, including assistantship processing, student employment, and data tracking to inform recruitment and retention efforts. Additionally, the role advances departmental priorities by coordinating initiatives such as student events, experiential learning opportunities, and alumni engagement. Collaboration required to adapt responsibilities as needed, supporting staffing transitions, system implementations, and other priorities to maintain business operations continuity. Performs other duties as assigned.
JOB DUTIES:

30% - Essential - Schedule Building: Partners closely with the Department Chair, faculty, Records and Registration, academic advisers, and the CAH Director of Academic Operations to build, maintain, and adjust the academic schedule throughout the year which includes entering courses and room assignments in the university systems, coordinating academic space usage, requesting large or specialized classrooms, and ensuring the appropriate mix of courses and seat capacity to meet programmatic and general education requirements. Collaborating with and offering real-time adjustments to all stakeholders to maintain accurate schedules, responsiveness, and alignment with institutional priorities.

30% - Essential - Registration Management and Compliance: Manages operational and compliance to include supporting students, faculty, and advisers; processing registration corrections; overseeing New Student Orientation and Registration; monitoring seat demand and fill rates; issuing overrides; and escalating capacity concerns as needed. The role also ensures adherence to university scheduling policies, proactively identifies and resolves conflicts or errors, maintains detailed records and reports on course demand, and supports continuous operations through required training, meetings, and the management of the department's dedicated scheduling and registration email account.

20% - Essential - Graduate Program Support: Works closely with Department Chair and Graduate Program Coordinator to support graduate recruitment and retention efforts. Processes graduate assistantship paperwork for submission to Human Resources and the Graduate School and assists the college with new hire and onboarding for graduate student employees. Consults with Graduate Program Coordinator on GTA assignments. Enter graduate assistant salaries and Graduate Assistant Differential (GAD) data into institutional systems. Coordinate student employment processes, including work-study postings and hiring via the Financial Aid job system. Provide administrative support to graduate program coordinator and committees. Track and report on program metrics (enrollment trends, retention, completion rates). Contribute to strategic planning efforts related to graduate education.

Examples might include planning and coordinating student events, seminars and guest speaker visits; providing support to experiential learning opportunities; and support alumni engagement and data collection for program outcomes.
