A Brief Overview
Responsible for receiving, prioritizing, and dispatching work assignments to maintenance staff while monitoring progress to ensure timely resolution. The Coordinator must be able to learn and navigate multiple technical systems, provide excellent customer service to staff, and support the overall effectiveness of the Facility Services Department.
What you will do
- Answers and triages incoming phone calls, emails, and other communications regarding maintenance issues from staff across hospital and clinic sites.
- Provides clear instructions to staff on reporting processes and escalation procedures.
- Documents requests accurately and completely in the software system.
- Evaluates reported issues to determine priority and appropriate response level.
- Assigns maintenance work orders to the appropriate technicians or service teams. Monitors work order status and follow up to ensure timely completion and customer satisfaction.
- Learns and operates multiple systems critical to hospital operations, including but not limited to CMMS, building control systems, pneumatic tube systems, etc. Observes system dashboards and alerts, reporting anomalies or failures to technical staff.
- Assists in generating reports for performance metrics, system utilization, and compliance.
- Supports standard operating procedures and recommend improvements for efficiency and reliability.
- Provides new-hire refresher training to Facility users.
- Creates and maintains access rights for Facility Service staff if appropriate technology solutions.
