SUMMARY

Coordinate the day-to-day administrative activities of the Scholarly Concentrations (SCON) educational program and contribute to the mission of the Office of Student Scholarly Activities within the Office of Curriculum.

In collaboration with SCON course directors and faculty, coordinate the day-to-day administrative activities of four SCON courses. Duties include scheduling course events, monitoring course enrollments, inputting grades, maintenance of course materials within the learning management system, assisting in recruiting course facilitators and other duties as assigned. Provide support to the OSSA and Curriculum teams to facilitate the achievement of the program’s goals.

PRIMARY RESPONSIBILITIES

• With minimal supervision, support the Scholarly Concentration course Directors on the development of, and have ultimate responsibility for, the preparation of program materials including educational materials for courses, orientation materials, marketing materials, website pages, forms, and reports. Educational materials preparation include creating and maintaining calendars, orientation material, syllabus, course and session objectives, policy and procedures, course content (books/material), assignments, exam materials and coordinating resources with other departments/divisions.
• Maintain program timeline including tracking for program components and assignment schedules, course and exam materials, and grades. Report program data and progress to program stakeholders.
• Create and maintain program content in the Learning Management System (Brightspace) and Student Information Systems (OASIS and MCWConnect).
• Coordinate and schedule people including faculty, staff and students, and resources including rooms, technology and equipment. Assist in room and technology set-up as needed to meet the program needs.
• Correspond with students and faculty as needed to answer questions and deliver messages related to the education program. Develop and maintain relationships with students and faculty.
• Develop, implement, and maintain comprehensive databases and files related to the program. Collect, analyze, and disseminate program data such as grades, attendance, hours of work, advising relationships, project details.
• Collaborate with Summer Academic programs for Medical Students (SAMS) Manager, SCON Lead, OSSA Manager, and Assistant Dean for Scholarly Activities to drive mission planning and execution.
• Organize internal and external meetings and special events.
• Conduct or coordinate training for program participants.
• Participate on appropriate committees relevant to the advancement of the program.
• Initiate, cultivate, and sustain relationships with institutional resources that support the goals of the program, Concentration Directors, and support student advising, e.g. Honors in Research and Honors in Medical Education, SAMS.
• Provide input on program design, policies, and protocols.
• Participate in the development of program resources through literature searches, connections with other institutions. Coordinate and assist in the development of the program budget.
• Assist in recruitment and training of program staff.
• Foster relationships between SCON students and faculty to identify, coordinate, and publicize scholarly projects and noncore activity/enrichment opportunities.
• Coordinate exam proctors and proctor exams for division.

QUALIFICATIONS

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education: Bachelor's degree

Minimum Required Experience: 3 years

Preferred Education: Bachelor’s Degree in relevant field

Preferred Experience: 3 years of experience in program coordination. Familiarity with research and/or academic medicine environment strongly desired, or experience working in higher education. Prior role advocating for faculty and students helpful.
