The Short Version
We're looking for an Executive Assistant who is so organized that your spice rack is alphabetized, your inbox lives at zero, and you've never once said “wait, what day is it?” You will be the calm center of a busy executive's universe — the person who knows where everything is, what happens next, and how to get it done before anyone thought to ask.
What You'll Actually Do
- Own the calendar like it owes you money. Schedule, reschedule, protect focus time, and gracefully decline the meetings that should have been emails.
- Manage email and correspondence — draft replies, flag what matters, and shield your executive from the 47 newsletters they never signed up for.
- Coordinate travel down to the aisle seat and the backup flight you booked “just in case” (which will absolutely save the day at least twice a year).
- Handle documents and follow-ups — prepare polished letters, track signatures, chase down the thing that person promised three weeks ago.
- Anticipate needs. The best EAs answer questions before they're asked. You'll know the printer is out of toner before the printer does.
- Keep confidential things confidential. You're a vault with excellent penmanship.
You Might Be Our Person If
- You have 5+ years of experience as an Executive Assistant, office manager, or similar “keeper of all the things” role
- Your friends describe you as “scarily organized” and mean it as a compliment
- You're fluent in Microsoft Office / Google Workspace and can wrangle a spreadsheet without breaking a sweat
- You communicate clearly, warmly, and professionally — with everyone from CEOs to couriers
- You stay unflappable when plans change (because plans will change, usually at 4:55 PM on a Friday)
- You have impeccable judgment, discretion, and follow-through — if you say it's handled, it's handled
Bonus Points For
- Experience supporting a small business or family office
- Notary certification, bookkeeping familiarity, or event planning experience
- Familiarity with the South Tampa area — you know the fastest route across town and the best backup lunch spot when the first one has a 40-minute wait
Pay: $65,000.00 - $85,000.00 per year
Benefits:

- Retirement plan

Administrative Assistant Jobs in Tampa: Frequently Asked Questions
How do I get a administrative assistant job in Tampa?
Focus your search on Tampa's strongest hiring sectors: healthcare systems concentrated near the University of South Florida and Brandon, financial and insurance firms anchored in Westshore, and professional services firms downtown. Candidates who stand out here typically bring proficiency in Microsoft 365 or Google Workspace, experience with scheduling and calendar management, and familiarity with the fast-paced office environments common in Tampa's corporate corridors. Tailoring your resume to the specific sector matters in this market.
Which companies hire administrative assistants in Tampa?
Companies currently hiring administrative assistants in Tampa include State of Florida, DHL, and Atwell, per current listings on Migrate Mate as of August 2026. Tampa's mix of large hospital networks, regional bank headquarters, and national insurance carriers creates consistent year-round demand for administrative support across office sizes and industries.
Are there remote administrative assistant jobs in Tampa?
Yes, though remote availability depends heavily on the role, since administrative assistants handling in-person reception, physical mail, or on-site coordination are almost always required on-site. About 13% of administrative assistant openings tied to Tampa are remote or hybrid as of August 2026, with the greatest remote flexibility found in roles supporting corporate legal, finance, and technology teams based in Westshore or Downtown Tampa.
How can I get a administrative assistant job in Tampa with little or no experience?
The most realistic entry path in Tampa is targeting healthcare systems like Tampa General Hospital or the larger USF Health network, which regularly hire entry-level administrative coordinators and medical office assistants. Temp-to-hire roles through Tampa's staffing agencies are another reliable on-ramp, placing candidates in short-term assignments that frequently convert to permanent positions. Demonstrated proficiency in scheduling software, a polished phone manner, and any front-desk or customer-facing experience strengthen early applications significantly.
