About the Role
We're looking for an organized, curious, and resourceful person who is excited about using AI to make a small business run better. As our Business Operations & AI Coordinator, you'll report directly to the Owner and support both the Owner and our Studio General Managers across marketing, operations, HR administration, and compliance. Our ideal candidate has a personal passion for health and fitness and is genuinely interested in growing their pilates practice.
This is a broad role with real ownership. You'll see how a multi-location business works from the inside, and you'll help shape how we use AI across the company. We'll train you on our systems and processes. We're looking for someone who learns quickly and loves finding a better way to do things.
What You'll Do
AI, Data, and Reporting
- Build automated daily reports from our booking, payment, cancellation, and membership data so leadership starts each morning with clear, accurate numbers
- Use AI tools to analyze member data and identify which members are most likely to cancel, so studios can act early to keep them
- Find and implement ways to use AI to reduce administrative work across the company, and regularly audit AI outputs for accuracy
- Teach studio leaders practical AI skills and bring new ideas for how AI can help our business
HR Administration
- Back up the Owner on bi-weekly payroll (this may become a regular responsibility)
- Onboard and offboard employees across our systems (Gusto, Sling, ClubReady, Powerhouse), including I-9 completion within three days of an employee's start date
- Maintain electronic employee files in Gusto
- Administer employee programs: ICHRA health benefit, MarylandSaves (Vestwell) retirement program, and, in the future, Maryland FAMLI leave
- Handle employment verification requests, Maryland unemployment inquiries, instructor insurance, and workers' compensation administration
- Help plan employee events and gifts
Studio Operations
- Maintain the master studio operations binder and create new guides with input from General Managers
- Coordinate equipment ordering for all studios: compare vendor pricing, place orders, and distribute to studios
- Keep the company asset and inventory log current with General Managers
- Manage vendors, including HVAC preventive maintenance, Flowater, Edge, wholesale accounts, and contractors. Set up new accounts, verify bills are accurate, and make sure they're charged to the correct studio
- Attend key corporate calls, sometimes on the Owner's behalf
Accounting, Compliance, and Business Administration
- Support our bookkeeper and accountant with statements, reports, and answers to their questions
- File and pay sales and use tax
- Manage state and federal compliance, including Maryland business registrations, licenses, renewals, and employment law compliance
- Manage general liability and employment practices liability insurance, including coordinating claims and keeping the Owner updated
- Support property management: leases, sales reporting, and rent
- Maintain PCI compliance
- Support special projects as needed

- You use AI tools like Claude or ChatGPT regularly, for work, school, or personal projects, and can show us examples
- You write clear, specific prompts and know how to refine them when the first answer isn't right
- You check AI output critically. You know AI can be confidently wrong, and you verify numbers, facts, and summaries before anyone relies on them
- You're comfortable in spreadsheets (Excel or Google Sheets): sorting, filtering, formulas, pivot tables
- You use good judgment with sensitive data and understand what should and shouldn't go into an AI tool
Nice to Have
- Experience building repeatable AI workflows, such as Claude Projects, custom GPTs, or saved prompt templates
